The Tropical Australian Academic Health Centre (TAAHC) is seeking a highly organised and proactive Business Support Officer to provide administrative, coordination and financial support to our small, collaborative team.

TAAHC is an NHMRC-accredited Research Translation Centre that brings together James Cook University, Northern Queensland Primary Health Network, Queensland Aboriginal and Islander Health Council and five Hospital and Health Services across northern Queensland. We work to strengthen research, education and evidence-informed healthcare to improve health outcomes across the region. This is an excellent opportunity for an experienced administration officer who enjoys variety, works well independently and takes pride in keeping systems, processes and people connected.

About the Role

This is a Temporary Part-Time (0.5 FTE) opportunity for a two (2) year fixed-term period.

Reporting to the Executive Officer, you will provide day-to-day administrative and operational support across a range of activities.

Key responsibilities include:

  • Providing general administrative support to the TAAHC team.
  • Coordinating meetings, preparing agendas and papers, maintaining action registers and supporting follow-up activities.
  • Managing shared mailboxes, records, filing systems and organisational documentation.
  • Assisting with travel arrangements, stakeholder enquiries and document preparation.
  • Supporting procurement, invoice processing and other financial administration tasks.
  • Coordinating registrations and participant communications for workshops, webinars and training activities.
  • Maintaining project, grant and contract records.
  • Assisting with reports, presentations, promotional materials and organisational communications.
  • Supporting the maintenance of mailing lists, stakeholder databases and other information systems.

About You

To be successful in this role, you will have:

  • Demonstrated experience providing administrative and business support in a professional environment.
  • Strong organisational and time management skills with the ability to manage competing priorities and meet deadlines.
  • Experience coordinating meetings, events, projects or programs.
  • Excellent written and verbal communication skills and the ability to build positive working relationships with a diverse range of stakeholders.
  • Strong proficiency in Microsoft 365 applications and the ability to learn new systems and technologies.
  • Familiarity with Xero and other financial management systems is desirable.
