Medical Secretary / Administrator – Specialist Orthopaedic Practice (Full-Time)

We are seeking an experienced and highly organised Medical Secretary / Administrator to join our busy specialist practice on a full-time basis.

You'll play a key role in ensuring the smooth day-to-day operation of our practice while providing outstanding service to our patients and clinicians.
About the Role
As the first point of contact for our patients, you'll provide a warm and professional experience while managing a variety of administrative responsibilities, including:
- Welcoming and assisting patients
- Answering and managing incoming phone calls
- Scheduling and coordinating appointments
- Billing patients and processing payments
- Processing Medicare rebates
- Preparing patient quotes
- Coordinating theatre bookings
- Daily banking and reconciliation
- Scanning, filing and maintaining patient records
- Processing specialist correspondence using AI dictation software
- General administrative duties to support the practice
Essential Criteria
To be successful in this role, you will have:
- A minimum of 2 years' experience in a private medical practice
- At least 5 years' administration or secretarial experience
- Outstanding customer service and communication skills
- Excellent organisational and time management skills
- Strong attention to detail and accuracy
- Advanced computer skills and confidence learning new software
- The ability to prioritise competing tasks and work efficiently under pressure
- A proactive attitude with the ability to work independently and as part of a team

Desirable Experience
While not essential, the following will be highly regarded:
- Experience using Gentu medical software
- Previous experience in an orthopaedic specialist practice
- Knowledge of medical terminology, Medicare and private health fund billing
