About The Role

We have a unique opportunity for a high calibre Executive Assistant to join our dynamic Customer business unit, supporting our Chief Customer Officer. Highly organised and solutions-focused, you take pride in staying one step ahead and delivering exceptional support.

You’ll collaborate closely with key stakeholders from right across the EnergyAustralia enterprise (including your own small team of direct reports), fostering a customer-centric, continuous-improvement mindset and enabling the CCO to operate seamlessly, anticipating needs and ensuring nothing falls through the cracks.

Diary, Stakeholder & Travel Management

  • Provide accurate, proactive diary management - screening and prioritising appointments, meetings and events so the Executive makes the most effective use of their time - and work with the Executive to develop diary management principles that enable proactive management with minimal direction.
  • Coordinate end-to-end travel needs, including booking all flights and hotels, visa requirements, directions, commuting times, and ground transportation — with a sharp eye for intricate details.

People Leadership & Community of Practice

  • Lead three Customer Team Coordinators and a Site Operations Coordinator (remote), sharing experience and supporting their development.
  • Actively participate in the Community of Practice with other Executive and Team Assistants, sharing experience and providing support for leave cover and absence.

Meeting, Document & Expense Management

  • Prepare relevant document for the Executive for all Executive Leadership Team and Board meetings.
  • Track and follow up action items from leadership and other key meetings and maintain confidentiality of sensitive documentation and information.
  • Ensure accurate creation of Purchase Requisitions and undertake routine payment and reconciliation of incoming invoices and accounts.

Issue Escalation & Approvals

  • Manage sensitive and important issues, understanding which can be delegated and which should be escalated.
  • Manage approvals in line with Executive expectations, flagging pending or overdue items.

Event Management

  • Coordinate a variety of functional forums end-to-end: agendas, packs, invites, minute-taking, and actions.
  • Plan, coordinate, and execute offsites, team events and other initiatives.

About You

We’re seeking someone who has considerable experience supporting an Executive who moves at pace and has enterprise-wide reach and accountability (within top tier corporate organisations). Ideally, you’ll bring prior experiencing managing / leading direct report/s, and your communication skills, both written and verbal, will be a key strength. Other attributes and experiences we’d love to see from you include:

  • Trustworthy (a vault) — you'll be privy to sensitive and confidential information. Integrity is non-negotiable in this role.
