Zoho, Automations and IT Support Specialist

Who we are looking for

We are seeking a proactive, hands-on IT Manager to become our global "go-to" technology leader. Your primary mission is to streamline our business by leading automation projects, while keeping our day-to-day IT systems running flawlessly.

Position Overview

  • Role: Zoho, Automations and IT Support Team Leader
  • Position Type: Full-time (Contractual / Remote or Hybrid)
  • Experience Required: 3 to 5 years of experience handling Zoho development and/or automations and/or general IT support.

Leadership & Project Management

  • Manage the IT workload: Own requests coming from all departments—sales, ops, marketing, etc. Prioritise, scope, and track them in Zoho Projects or equivalent. Keep stakeholders updated on progress.
  • Lead the IT team: If others are supporting IT infrastructure, mentor them, assign work, and ensure quality. Build processes so the team can handle routine issues without escalation.
  • Drive process improvements: Continuously identify inefficiencies across departments and propose automation or workflow changes. Be proactive, not just reactive.

Development & Automation

  • Identify and build automations: Spot manual, repetitive work across the business. Scope the effort, build the automation using Zoho workflows and Deluge scripts, measure the time saved—and keep hunting for the next one.
  • Integrate across the tech stack: Use Zoho workflows and IPIs to connect Zoho appls and third-party tools (Wordpress, Google Workspace etc). When a sync breaks, diagnose and fix it.
  • Write and maintain Deluge scripts: Create custom automations to handle repetitive tasks - data validation, conditional workflows, bulk updates, API calls - and document them so others can maintain or modify them later.
  • Improve data structure: Audit Zoho modules, custom fields, and layouts to catch data quality issues. Build validation rules that prevent bad data from entering the system. Work with the team to clean up historical data when needed.

Reporting & Analytics

  • Build automated reporting pipelines: Ask the right questions upfront (Why does this report exist? Who needs it? What decisions does it drive?). Then design and implement workflows that pull data from Zoho Books, CRM, Projects, and Campaigns, aggregate it, and deliver it to stakeholders via email or dashboards.

Day-to-Day IT Support

  • First call for tech issues: You're the first point of contact when things break - which they will. Troubleshoot and fix access issues, workflow glitches, sync failures, email setup, and support requests across all departments.
  • Employee lifecycle management: Onboard new team members into Zoho and Google Workspace with proper access and permissions. Offboard departing staff cleanly.

Website Maintenance & Monitoring

  • Keep our website healthy: Monitor WordPress health, uptime, and performance. Handle routine maintenance - plugin updates, security patches, backups.
  • Troubleshoot issues: Diagnose and fix WordPress errors, Cloudflare problems, or access issues. Escalate major rebuilds or design work as needed.
  • Manage backups: Ensure backups run regularly and are recoverable. Test restores periodically.
  • Support updates: Help with pricing changes, new page additions, or other content updates as the business requires.

Required Skills & Qualifications

  • Deluge Scripting: Advanced proficiency in Zoho's proprietary programming language is an advantage. You should be comfortable writing custom scripts, debugging broken automations, and documenting your code for others to maintain.
  • Zoho Ecosystem: Proven experience configuring and troubleshooting Zoho CRM, Zoho Books, Zoho Campaigns, and Zoho Projects. You understand data structure, custom fields, workflows, and how to connect these modules.
  • Make.com & API integrations: Hands-on experience building and maintaining integrations using Make.com, APIs, and webhooks. You can diagnose sync failures and rebuild broken connections.
  • WordPress & basic infrastructure: Comfortable managing WordPress updates, Cloudflare basics, backups, and monitoring site health.
  • Problem Solving & Diagnostics: A resourceful mindset - you can dig into a broken workflow, a data sync error, or a user access issue and trace it to root cause. You ask good questions before jumping to solutions.
  • Communication & Stakeholder Management: Clear verbal and written English. You can explain technical issues to non-technical team members, understand project briefs from different departments, and push back constructively when something doesn't make sense.
  • Leadership & Project Management: Able to prioritize requests from multiple departments, track them through to completion, and mentor others if needed. You drive projects forward and keep stakeholders informed.
  • Continuous Learning: Comfortable learning new tools and approaches. You stay current with Zoho updates, automation best practices, and WordPress trends.
