About the role

We’re seeking a Bid & Submission Coordinator to support the delivery of high-quality bid and tender submissions.

This is a full-time role suited to someone with strong writing, coordination and organisational skills, ideally with experience in the architectural or built environment industry. The role will suit someone who enjoys bid writing, understands submission processes, and can help guide submissions from early planning through to final lodgement.

You’ll work closely with our Practice Delivery Manager and wider team to plan and coordinate the bid process, gather and shape inputs from internal team members and external consultants, and ensure submissions are produced professionally, on time, and to a consistently high standard.

Key responsibilities

  • Coordinate end-to-end tender and bid submissions, including EOIs, RFTs, award entries, proposals and capability statements, from planning through to submission
  • Support the development of submission timelines, coordinating inputs from internal team members and external consultants and helping keep contributors on track
  • Write, edit and proofread bid responses and written project content
  • Ensure submissions are compelling and compliant with requirements, deadlines, formatting rules and page counts
  • Maintain and continue developing our bid library, including CVs, project sheets, case studies and templates
  • Keeping compliance registers, consultant and bids database up to date and in line with our Quality and Environmental Management Systems
  • Track tender outcomes and work with the Practice Delivery Manager and sector leads, support continued improvements of submissions
  • Prepare and format supporting bid documents, including schedules, appendices and visuals, using InDesign
  • Contribute to improvements to our internal bid processes, templates and systems

About you

You’ll likely bring:

  • Experience working in the creative industries, architectural or built environment industry, ideally in a bid, submissions, proposals or communications capacity
  • Experience contributing to or coordinating bids, tenders, EOIs or proposal submissions
  • Strong organisational skills, with the ability to plan, prioritise and manage multiple submissions under deadline pressure
  • Strong writing skills that are clear, structured, persuasive and accurate
  • Excellent attention to detail, including formatting, consistency and proofreading
  • Confident document management and coordination skills
  • Communication skills, with the ability to gather inputs, follow up with contributors and work across teams
  • Proficiency in Microsoft Office / MS365, including Word, Excel, PowerPoint and Teams
  • InDesign skills for document layout
