As the heartbeat of our vibrant office on Queens Rd, Melbourne, you’ll keep everything running seamlessly, from event logistics and supplier coordination to managing our lively office culture and supporting our team’s daily needs. Located just steps from Albert Park and the Royal Botanic Gardens, our office offers the perfect blend of city convenience and natural surrounds, providing a fantastic environment for collaboration, wellbeing and team connection.

If you love juggling multiple priorities, solving problems before they arise, and making people’s days easier with your proactive and positive approach, this role is for you. This is a full-time, 5-day-per-week role based in the office, supporting a team that primarily works in the office 3 days per week.

What You’ll Own

  • Culture, Accountability & Team Support: Foster a positive, inclusive and connected workplace culture where team members feel supported and heard. Act as a trusted point of contact for staff, helping to identify concerns, maintain professional standards, and escalate issues appropriately when required. Provide leadership with an additional perspective on office dynamics, ensuring potential risks, compliance matters and workplace issues are identified early and addressed constructively.
  • Delegate & Client Enquiries: Be the first point of contact for all delegate enquiries - responding promptly and professionally to questions, providing event information, and directing calls as needed. Support new business enquiries by liaising with potential clients and directing them to the right team members.
  • Event & Office Logistics: Manage all pre-and post-event logistics including coordinating freight, preparing conference materials, managing name badges, and maintaining accurate conference records.
  • Team Support & Onboarding: Ensure new starters have a smooth and memorable onboarding experience by coordinating IT setup, supplies, and introductions. Maintain staff wellbeing through organising birthday celebrations, team events, and general office morale boosters.
  • Supplier & Vendor Management: Oversee relationships and communications with office suppliers including couriers, cleaning services, waste management, and catering. Ensure contracts and services run smoothly and proactively address any issues.
  • Office Operations & Maintenance: Keep the office environment clean, safe, and functional. Manage office supplies and stationery to ensure the team has everything they need. Organise storage, manage office keys/access, and oversee general upkeep.
  • Communication Hub: Handle all incoming calls and emails, ensuring efficient and courteous handling of enquiries both internally and externally. Coordinate messages and communications across departments when necessary.
  • Systems & Documentation: Assist in maintaining and update the company’s office processes and administrative systems to increase efficiency.
  • Health, Safety & Compliance: Support workplace health and safety initiatives, including coordinating risk assessments and ensuring the office complies with relevant policies and regulations.

  • Strong proficiency in Microsoft 365, including Teams, SharePoint, Outlook and related collaboration tools, with the ability to provide first-level support and user guidance.
