This is an exciting opportunity to join our Civic Services team in a varied and highly visible role that supports the efficient operation of a busy department.

About The Role

Reporting to the Business and Policy Lead, you will provide high-quality business, administrative and operational support across Civic Services. You will work closely with leaders and teams throughout Civic Services (and broader Council) contributing to reporting, project support, financial administration, records management, customer service and continuous improvement initiatives.

Key Responsibilities

Working alongside the Business and Policy Lead, you will contribute to internal projects, investigate business issues, gather and analyse information, and help implement practical solutions that improve service delivery and operational efficiency.

You will prepare reports, correspondence, presentations and other business documentation, ensuring information is accurate, professional and delivered within required timeframes. You will coordinate departmental reporting activities, including key performance indicators, financial reporting and other corporate requirements that support effective decision-making and governance.

You will support purchasing, invoicing and document management processes, while promoting consistent administrative practices and quality record keeping across the department. You will also provide guidance and support to staff in the use of business systems and administrative processes.

You will provide exceptional customer service to both internal and external stakeholders, coordinating customer enquiries and correspondence, resolving matters professionally and ensuring requests are managed within agreed timeframes.

About You

You are a highly organised and proactive professional with strong administration and customer service experience gained in a complex environment. You have excellent written and verbal communication skills and can produce accurate reports, correspondence and presentations to a high standard.

You are confident managing competing priorities, maintaining attention to detail and building positive relationships with a wide range of stakeholders. You enjoy solving problems, identifying opportunities for improvement and contributing to a collaborative team environment.

You will bring strong Microsoft Office skills, experience in records and financial administration, and a commitment to delivering outstanding customer service. Experience in local government or another statutory environment will be highly regarded, as will an interest in understanding business operations and improving community outcomes.

Employment Requirements

  • Excellent written and verbal communication skills, including demonstrated ability in writing accurate and comprehensive reports and the preparation of external correspondence.
  • Relevant experience in a complex customer service/administrative environment both in person and over the phone, including proficiency in financial administration, preferably in local government or other statutory based environment.
  • Applicants must have the right to work in Australia
  • Current Victorian Driver's Licence
  • Preferred applicants will be required to undergo a National Police Record Check.
