About The Position
We are seeking an experienced HSEQ Coordinator / Advisor for a permanent role-based Northeast of Melbourne. The position will assist with day-to-day HSEQ support, plant and equipment compliance, incident administration, SDS management, PPE coordination, training and competency records, assist HR as required with return-to-work administration, following project auditing schedules and reportion, along with general systems governance. Key Responsibilities
Support the maintenance of HSEQ documentation, registers, records, and compliance systems.
Assist with the management of document control, forms, procedures, SWMS, safety alerts, and related HSEQ records.
Maintain and update HSEQ registers, including corrective actions, inspections, audits, incidents, SDS, equipment, and compliance records.
Assist with SharePoint, and other business systems used to manage HSEQ information.
Support the HSEQ Manager with internal reporting, compliance tracking, and preparation of project documentation.
Assist with incident reporting, investigation coordination, evidence collection, and close-out of corrective actions.
Support the preparation of incident summaries, registers, notifications, and investigation documentation.
Track incident actions through to completion.
Assist with maintaining accurate incident records and supporting trend analysis.
Support the management of plant, equipment, and fleet registers.
Assist with tracking inspections, servicing, calibration, maintenance, licences, registration, and compliance documentation.
Coordinate follow-up actions relating to plant and equipment compliance gaps.
Assist with ensuring equipment records are current, accurate, and available when required.
Assist with tracking worker training, licences, tickets, inductions, and competency records.
Support HR and HSEQ with onboarding documentation and compliance checks.
Provide practical HSEQ support to project and site teams.
Assist with inspections, audits, observations, and close-out of site actions.
Support communication between site teams and the principal contractor regarding HSEQ requirements.
Assist in promoting safe, efficient, and well-supported operations across the site and business.
Skills And Experience
Experience in civil, construction, electrical, infrastructure, plant, equipment, logistics, or similar operational environments.
Knowledge of Heavy Vehicle Nation Law (HVNL Victoria)
Strong organisational and administrative skills.
Good understanding of safety, compliance, plant, equipment, and systems-based requirements.
Ability to manage registers, records, follow-ups, and competing priorities.
Strong communication skills and the ability to work with site, office and management teams.
Experience with incident reporting, training records, or compliance systems would be highly regarded.
Confidence using Microsoft Office, SharePoint, Excel, and similar business systems.
Practical and solutions-focused.
Able to support multiple stakeholders.
Willing to assist with both administrative and operational tasks.
Strong awareness of confidentiality, particularly in relation to HR and injury management matters.
