Administration Supervisor to join our team in Adelaide, SA.

In this role, you will make an impact in the following ways:

  • Administrative support — Conducts research, prepares reports, and handles routine to complex information requests.
  • Information management — Gathers, verifies, and accurately enters data into reports, presentations, forms, databases, and spreadsheets.
  • Data processing — Completes data collection, data entry, and generates departmental activity reports.
  • Office coordination — Prepares correspondence, receives visitors, arranges conference calls, and schedules meetings.
  • Inquiry handling — Responds to or redirects routine to complex internal and external inquiries to ensure accurate and timely information.
  • Payment and payroll processing — Prepares and submits vendor/supplier payment documentation, enters payment requests, and responds to accounts payable or payee inquiries.
  • Policy documentation — Documents and maintains departmental policies and procedures.
  • Project participation — Contributes to departmental business improvement initiatives and projects.
  • Facility admin — Be a key stakeholder in the day to day facility/maintenance programs
  • Peer support — Acts as an informal resource for colleagues with less experience.

To be successful in this role you will need the following:

  • 7 Plus years of experience in facilities or office management
  • Have a strong safety orientation and a passion for HSE with a good understanding of safe Work Health & Safety practices.
  • Be highly organised, able to prioritise, plan and execute maintenance plans and projects.
  • Advanced skills in Microsoft excel, Outlook and Word. We work with several systems, you do need to be extremely adapt to learning new technology.
  • Have strong communication skills with an ability for working collaboratively.
  • Be action orientated with a sense of urgency in order to provide fast and efficient service for maintenance requests.
  • Holds self and others responsible for meeting commitments/deadlines.
  • Prioritizes and organises work to meet goals aligned with organisational objectives.
  • Be data driven with ability to translate business problems and insights into clear visual stories through reports and dashboards.
