Procurement Administrator

Our client is looking for an experienced Procurement Administrator to support a busy strategic procurement team within the defence and maritime sector.

Roster: Monday - Friday

Start date: ASAP

Duration: 3 months, with potential for extension for the right candidate

Pay Rate: $55.00 - $60.00 p/h + Super depending on experience

Please note that only people with relevant experience will be considered.

The Role

This role will suit an organised and proactive Procurement Administrator with experience supporting procurement, supplier onboarding, vendor management, compliance, contract administration and general business support activities.

You will be responsible for providing administrative support to the Strategic Procurement team, assisting with supplier engagement, supplier onboarding, vendor compliance, subcontract administration, procurement documentation and the management of procurement systems and records.

You will work closely with procurement managers, suppliers, internal stakeholders and external partners to ensure procurement processes are completed accurately, efficiently and in line with business requirements.

Key Responsibilities Include But Are Not Limited To

  • Engage with suppliers and internal stakeholders to support a smooth and efficient onboarding and procurement process
  • Process supplier requests and coordinate new supplier onboarding through to approval in the ERP system
  • Create and maintain supplier records in vendor management systems
  • Upload, file and maintain supplier compliance documentation
  • Monitor and manage vendor compliance requirements and follow up with suppliers and internal stakeholders as required
  • Maintain contract agreement registers and ensure soft and hard copy contract records are accurately filed
  • Monitor procurement mailboxes and action, distribute or escalate emails as required
  • Ensure procurement, vendor management and information systems are accurate and well maintained
  • Process procurement reports and liaise with Procurement Managers as required
  • Provide administrative and business support to the Strategic Procurement team
  • Support compliance with internal policies, procedures, commercial obligations and risk management requirements
  • Identify and contribute to opportunities for process, system and procedure improvement
  • Contribute to a strong Safety First culture and participate in HSE initiatives where required

Required Experience

  • NV1 Defence Security Clearance is required
  • Previous experience in procurement administration, contract administration, supplier onboarding, vendor management or business support
  • Previous experience working within a procurement, supply chain, contracts, commercial or administration environment
  • Strong administration, coordination and organisational skills
  • High attention to detail and ability to maintain accurate records and documentation
  • Ability to manage multiple priorities and work independently to meet deadlines
  • Strong written and verbal communication skills
  • Confident stakeholder engagement skills with the ability to liaise with suppliers, managers and internal teams
  • Proficiency across Microsoft Office, including Word, Outlook, Excel and PowerPoint
  • Experience using ERP, procurement, vendor management or document management systems highly regarded
  • A proactive, flexible and team-focused approach to work
  • Previous experience in defence, maritime, engineering, resources or government environments highly regarded
  • Certificate III in Business Administration or equivalent experience highly regarded
