About the role
As Project Manager, you will be a strong communicator and the engine room of the agency. Working alongside our Client Management team, your primary focus will be owning the end-to-end delivery process: scoping new briefs, building timelines, managing resource allocation, and tracking project budgets.
You are a proactive problem solver who keeps internal teams and clients completely on track, navigating risks, solving issues collaboratively and ensuring projects are delivered to their strategic intent.
Day-to-day responsibilities include
Planning & Documentation
- Develop and maintain all project documentation including scoping documents, project plans, timelines, budgets and resourcing plans, keeping information accurate and up to date across agency systems.
- Facilitate requirement gathering workshops with team and clients.
Internal Coordination & Delivery
- Drive internal project delivery, ensuring work moves through the agency on time and within scope, with the right people briefed, aligned and able to deliver.
- Write and issue internal briefs to creative, research, PR, technology or production teams.
- Lead and coordinate internal WIPs, resourcing meetings, ensuring actions, decisions and next steps are clearly captured and communicated.
- Brief and manage external suppliers day-to-day.
- Balance agency-wide capacity and skill sets to assign the right talent to the right tasks.
- Develop relationships with department leads, and get to know the skillsets of people within their teams to enable effective and efficient resourcing.
- Develop a strong partnering relationship with Client Leads/Managers built on mutual trust and clear communication.
Client Management
- Work alongside the Client Account Management team to understand client needs, strategic intent, brand guidelines and value drivers.
- Bring this knowledge into every project to ensure delivery is aligned to client expectations.
- Act as a day-to-day client contact on projects, leading WIPs, project updates and follow-ups.
- Document client meetings and key project discussions, sharing relevant updates with the internal team in a clear and timely way.
Risk & Scope Management
- Proactively identify project risks, delays and scope creep, developing mitigation actions to resolve issues before they escalate. Raise change requests or seek additional approvals where required to protect scope and budget.
- Review project deliverables and workflow ahead of key milestones to ensure work is progressing to the right standard.
Finance & Budget Management
- Manage project budgets across phases, teams and external suppliers, using reporting data to identify risks and opportunities for improvement.
- Build and interpret project status reports, burn rates and basic dashboards.
- Work with Client Leads/Managers and Finance to support accurate billing, reconciliations and budget tracking.
Continuous Improvement & Team Development
- Continuously look for ways to improve project processes, ways of working and delivery structures across the team.
- Share knowledge and expertise with the broader team, educating others in best practice project management and delivery.
Agency Contribution
- Stay across Think HQ's services, systems and ways of working to support integrated, high-quality delivery.
- Contribute positively to Think HQ's culture and values, both internally and in how you show up with clients and partners.
About you
We’re looking for someone with the drive, curiosity and capability to grow into the role. You don’t need to have mastered everything already, but you’ll likely bring:
- 3 years of dedicated project management experience (advertising or creative agency background highly regarded).
- Relevant tertiary qualification, or equivalent PM certification or training.
- A natural relationship builder who earns trust through consistent, high-quality delivery.
- Excellent communication and presentation skills across various levels of stakeholders.
- Ability to work in an environment managing competing priorities and tight deadlines.
- Impeccable attention to detail. Nothing slips past you, including timeline dependencies, typos and resource bottlenecks.
- Proficiency in agency PM tools such as Excel, Google Workspace, WorkBook, Jira, Monday .com, Asana.
- An understanding of a range of methodologies: PMBOK, Agile, Waterfall.
