Join a well-established and highly respected specialist gastroenterology practice dedicated to delivering exceptional care to residents and visitors across the Gold Coast and South East Queensland. Working closely with General Practitioners, the practice provides expert diagnosis and treatment for a broad range of digestive and liver conditions, including general gastroenterology, chronic liver disease, upper GI endoscopy and colonoscopy.

An opportunity is now available for an experienced

Senior Medical Secretary to join the team on a permanent part-time basis, working three days per week (Monday, Wednesday and Thursday, 8:00am–4:30pm, with some flexibility around hours). Based in Southport, you will become part of an established administrative team supporting busy outpatient clinics and theatre lists. While enjoying autonomy and ownership of your work, you'll also benefit from a collaborative team environment where colleagues support one another during periods of leave.

Key duties and responsibilities will include (but not be limited to):

  • Coordinate the day-to-day operations of a busy specialist practice, ensuring the smooth running of clinics and delivery of exceptional patient service
  • Manage appointment scheduling, patient enquiries and clinic bookings in a professional and compassionate manner.
  • Coordinate and manage theatre lists, including booking procedures and liaising with hospitals and day surgery facilities.
  • Prepare, process and follow up patient correspondence, referrals and specialist reports.
  • Accurately type and proofread clinical letters and medical documentation.
  • Liaise with General Practitioners, specialists, hospitals and allied health professionals regarding patient care and referrals.
  • Maintain accurate electronic patient records and ensure all documentation is up to date.
  • Manage patient billing, receipting, Medicare claiming and private health fund processing.
  • Assist patients with procedural information, preparation requirements and follow-up appointments.
  • Respond to telephone and email enquiries promptly and professionally.
  • Ensure patient confidentiality is maintained in accordance with privacy legislation and practice policies.
  • Monitor and manage incoming referrals, pathology and diagnostic results, escalating urgent matters where appropriate.
  • Support the coordination of recall systems and patient follow-up.
  • Work collaboratively with the administration team, providing support during periods of leave and high-volume clinics.

To Be Successful In This Role, You Will Demonstrate

  • Previous experience as a Senior Medical Secretary or Medical Receptionist within a specialist medical practice.
  • Experience managing specialist consulting rooms and coordinating theatre or procedural bookings.
  • Excellent knowledge of Medicare, DVA, private health funds and medical billing processes (including Eclipse billing)
  • Highly developed organisational skills with the ability to manage competing priorities in a busy clinical environment.
  • Exceptional attention to detail and a high level of accuracy when preparing medical correspondence and maintaining patient records.
  • Outstanding communication and interpersonal skills, with a professional and compassionate approach to patient care.
  • Advanced computer skills and experience using medical practice management software (experience with Genie or Gentu is highly regarded).
  • Strong medical terminology, with gastroenterology or surgical specialist experience viewed favourably.
  • The ability to work autonomously while also contributing positively within a collaborative team.
