Overview

The IT & Operations Coordinator is responsible for supporting the smooth day-to-day operation of the company's internal technology environment and ensuring employees have the tools, systems, and support they need to succeed.

This role combines IT support, systems administration, asset management, project coordination, and security and compliance support. Working closely with People & Culture, Security, and stakeholders across the business, you'll help maintain reliable technology services, support employee onboarding and offboarding, manage software and hardware assets, and contribute to improving the way we work through automation, documentation, and process improvement.

This role is permanent part time, with 3 days per week onsite: Monday, Tuesday and Thursday.

Key Responsibilities

Technology Support & Employee Lifecycle

  • Provide first-line technical support across hardware, software, business systems, and collaboration tools, resolving issues or escalating where required.
  • Monitor and manage support requests to ensure timely resolutions and a positive employee experience.
  • Coordinate technology onboarding and offboarding in partnership with People & Culture, including preparing hardware, software, accounts, and system access.
  • Manage asset recovery, licence reclamation, and access removal during offboarding.
  • Support employees with guidance on internal systems, tools, and technology.

Asset & Systems Management

  • Maintain accurate inventories of software applications, licences, subscriptions, and hardware assets.
  • Manage software procurement, renewals, licence allocation, and usage.
  • Administer internal business systems by managing user accounts, permissions, and access requests.
  • Coordinate the procurement, deployment, maintenance, repair, replacement, and lifecycle management of company hardware.
  • Support identity and access management (IAM) processes.
  • Maintain system documentation, user guides, and operational procedures.

Security & Compliance Support

  • Support the implementation and maintenance of security controls, policies, and operational processes.
  • Assist with user access reviews, device compliance, and other security administration tasks.
  • Support security awareness initiatives across the business.
  • Assist with compliance activities, audits, certification requirements, and evidence collection.
  • Work with internal stakeholders to help maintain compliance with company policies and security standards.

Projects & Continuous Improvement

  • Identify opportunities to improve processes, reduce manual effort, and increase operational efficiency.
  • Support automation initiatives across IT operations and employee lifecycle management.
  • Assist with system enhancements, testing, and technology improvements.
  • Coordinate and support IT and operational projects from planning through implementation.
  • Assist with vendor management, procurement activities, and project administration.
  • Track project timelines, deliverables, risks, and stakeholder communications.
  • Support the successful rollout of new systems, tools, and operational initiatives.

Documentation & Knowledge Management

  • Maintain accurate documentation for systems, asset management, and operational procedures.
  • Develop and improve knowledge base articles, troubleshooting guides, and standard operating procedures.
  • Contribute to knowledge-sharing initiatives that encourage self-service and operational efficiency.

Preferred Experience

The following experience would be beneficial but is not required:

  • Experience in IT support, helpdesk, operations, administration, customer support, or a similar role.
  • Exposure to SaaS platforms such as Google Workspace, Slack, Atlassian, Keeper, MDM, or similar tools.
  • Experience supporting internal users or customers.
  • Exposure to software licence management, hardware asset management, or employee onboarding and offboarding.
  • Awareness of security, compliance, or information security best practices.
  • Experience with workflow automation tools, scripting, or process improvement initiatives.
  • Project coordination or project administration experience.
