Resolve Estate Law is looking for an exceptional Executive Team Assistant to become the operational heartbeat of our boutique Succession Law practice.

Resolve Estate Law is an award-winning boutique law firm based in Auchenflower, Brisbane, specialising exclusively in estate administration and estate dispute resolution with a growing guardianship and administration practice.

About the role

This isn’t a traditional legal assistant role.

You’ll work closely with our Principal and legal team to ensure our clients receive an exceptional experience from their very first enquiry through to the successful completion of their matter.

You’ll be trusted with significant responsibility and become the person who quietly keeps the practice running smoothly behind the scenes.

No two days are the same - and that’s exactly how you like it.

Your responsibilities will include:

  • Managing initial client enquiries with warmth, professionalism and empathy.
  • Scheduling initial consultations and coordinating lawyer diaries.
  • Managing our client onboarding process, including client care packs and draft retainer documentation.
  • Supporting our lawyers and paralegals by coordinating workflow, preparing matter reports and following up action items.
  • Managing our client care program to ensure every client feels informed and supported throughout their matter.
  • Preparing invoices, monitoring scope changes and assisting with updated client agreements.
  • Monitoring trust retainers and assisting with end-of-matter processes, including file closure, archiving and client appreciation gifts.
  • Managing the Principal’s diary and email.
  • Coordinating with our external consultants who manage our Collaborative Practice education programs and firm marketing initiatives.
  • Looking for opportunities to improve systems, processes and efficiencies across the firm.
  • Above all else, you’ll help ensure that nothing falls through the cracks.

Experience we'd love

You’ll likely have experience in one or more of the following:

  • Executive Assistant
  • Practice Manager
  • Legal Secretary
  • Client Services Coordinator
  • Office Manager
  • Professional Services Administration

Experience in a law firm or another professional services environment will be highly regarded, but it’s not essential.

If you’ve built a reputation as the person who keeps a busy office running smoothly, we’d love to hear from you.

Experience with Microsoft 365, Outlook, Smokeball, Xero, Zoom, and Calendly will be an advantage. (If you’ve used Monday.com - or are excited to learn - it’ll be a bonus.)

Salary: $75,000-$85,000 plus superannuation (depending on experience).
