Position Summary

The purpose of the Client Relationship Manager is to proactively assist the Accounting Team to exceed their clients' expectations by assuming responsibility for the day-to-day administration activities. On behalf of Focus Partners Australia Accounting and the Accountants proactively and professionally liaise with and provide support to clients, to exceed their expectations.

Primary Responsibilities

Client Onboarding & Engagement Administration

  • Setting up new clients in practice management systems
  • Collecting onboarding documentation for new clients
    • Engagement letters
    • Authorities and consent forms
    • Privacy disclosures (Australian Privacy Principles)
  • Maintaining client records and contact details
  • Coordinating initial system access for clients

ASIC & Corporate Secretarial Administration

  • Tracking ASIC annual review dates
  • Preparing ASIC forms (changes to director, address, share structure)
  • Coordinating payment of ASIC fees
  • Maintaining company registers
  • Supporting trust and SMSF administration
  • Establishment of new entities

Practice Management & Workflow Coordination

  • Managing job workflows in practice management systems
  • Monitoring deadlines and bottlenecks and raising these to support an exceptional client experience
  • Updating job statuses and WIP tracking
  • Proactively support Accountants by effectively and efficiently managing the assigned tasks as required by the Accountants.

Client Communication & Relationship Support

  • Managing shared accounting or admin inboxes
  • Answering client queries and triaging to accountants
  • Chasing outstanding client information (documents, approvals)
  • Complete required documentation to support client review process.
  • Coordinate client meeting bookings for the Accountants and prepare required documentation for client meetings
  • Identify and advise the client of any information/documentation required to have available for meetings with the Accounting Team.
  • Coordinate and liaise between clients, Accountants, and other teams or external organisations e.g. ATO,
  • Liaise with external parties (product providers and the client's professional advisers) to collect client information
  • Communicating deadlines, next steps, and progress updates
  • Ensuring a professional, responsive client experience

Billing, Fees & WIP Administration

  • Raising client invoices
  • Monitoring WIP and write‑off requests
  • Preparing fee proposals or scope packs
  • Following up unpaid invoices
  • Maintaining billing and pricing records

Qualifications

  • Minimum 5+ year experience in a client service or similar role.
  • Experience within the Accounting industry
