About The Role
This opportunity is suited to an experienced Executive Assistant who thrives in a dynamic government environment and enjoys supporting senior executives to achieve strategic and operational outcomes. You will act as a trusted partner to an Executive Director, ensuring seamless day-to-day operations through proactive executive support, stakeholder coordination and effective administration.
Working across multiple business priorities, you will manage confidential matters, coordinate executive communications and contribute to business improvement initiatives while supporting collaboration across the broader division.
Position: Executive Assistant - $483.68/day + super
Location: Parramatta
Working Arrangement: Hybrid (3 days office)
Start Date: 13 July 2026
Duration: Until 26 August 2026
Key Responsibilities
- Provide high-level executive support to the Executive Director, ensuring efficient daily operations.
- Manage complex diaries, calendars, inboxes and scheduling of meetings.
- Coordinate executive briefings, agendas, reports, correspondence and presentation materials.
- Organise meetings, workshops, forums and stakeholder events from planning through to delivery.
- Prepare meeting minutes, monitor action items and follow up on outstanding deliverables.
- Liaise professionally with internal and external stakeholders on behalf of the Executive Director.
- Manage confidential information with discretion and professionalism.
- Coordinate travel, accommodation and associated logistics where required.
- Maintain accurate document management, records and information control systems.
- Support divisional projects through administrative coordination and reporting.
- Assist with developing internal communications and employee engagement initiatives.
- Identify opportunities to improve administrative processes and business efficiency.
- Monitor competing priorities and proactively resolve scheduling conflicts.
- Support procurement, finance administration and purchase requests where required.
- Ensure compliance with government policies, procedures and administrative standards.
- Contribute to continuous improvement initiatives across the business unit.
About You
You are an organised and proactive Executive Assistant with demonstrated experience supporting senior executives within large, complex organisations. You possess exceptional organisational skills, communicate confidently with stakeholders at all levels and can effectively manage competing priorities in a fast-paced environment.
To Be Successful, You Will Have
- Demonstrated experience providing executive support to senior executives or Executive Directors.
- Proven experience managing complex diaries, calendars and executive inboxes.
- Strong administrative, coordination and organisational skills.
- Excellent written and verbal communication skills.
- Experience preparing executive correspondence, reports, briefing papers and meeting documentation.
- Strong stakeholder engagement skills across diverse internal and external groups.
- Experience working with confidential and sensitive information.
- Sound understanding of government administration, policies and protocols.
- Experience using Microsoft Office Suite, Microsoft Outlook, Microsoft Teams and document management systems.
- Knowledge of digital communication platforms and collaboration tools.
- Strong attention to detail with excellent time management skills.
- Ability to work independently while contributing positively within a team environment.
- Experience supporting projects, events or business improvement initiatives will be highly regarded.
- Ability to pass a National Criminal History Check and provide 2x references
- Applicants must have valid unrestricted working rights in Australia. Visa sponsorship is not available for this position. Candidates must hold Australian Citizenship, Permanent Residency or a valid long-term work visa with unrestricted work rights.
