The Team
We are looking for a dynamic and enthusiastic Junior Executive Assistant to join our Alvarez & Marsal office in Perth. This is a unique opportunity to join a high-performing team from the beginning and help to build our culture and ways of working as our Perth presence grows.
How you will contribute
Providing executive assistant support for 2-3 Managing Directors.
Managing complex diary and calendar coordination, including scheduling across time zones due to the cross-geography support model.
Coordinating internal and external meetings, in person and virtual, including room setup, catering, and logistics.
Drafting and editing correspondence, preparing meeting materials, agendas and follow-up actions.
Supporting business development activities including CRM data maintenance, pipeline tracking and proposal preparation as needed.
Interfacing professionally with employees from other business units within A&M and senior executives both inside and outside the company.
Working cross-functionally with corporate enabling teams (including IT, HR, Marketing, Finance, and Legal) to ensure smooth business operations.
Coordinating with an offshore Admin Assistant team to ensure efficient and effective completion of transactional tasks, including expenses, travel bookings, and timesheet completion.
Supporting day-to-day Perth office administration including facilities coordination, visitor and reception management, office supplies and local vendor relationships.
Assisting with onboarding logistics for new Perth-based team members.
Planning, coordinating, and executing special projects and events.
Working closely with the Perth EA lead, who oversees the more complex office management responsibilities, and escalating matters appropriately.
Qualifications
Experience
5 years of administration or executive assistant experience, supporting multiple executives. Professional services background is ideal but not essential.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and file-sharing platforms such as Box.
Experience with CRM platforms advantageous (e.g. Salesforce or similar) and familiarity with expense management tools (such as Concur) is desirable.
