Townsville Grammar School is one of the original Grammar Schools of Queensland. The Year 7-12 campus is located on the original site at North Ward. The School also operates two Junior School campuses, both offering Pre-Prep to Year 6, at Annandale and North Shore.
Townsville Grammar School is a co-educational, non-denominational School with a current enrolment of approximately 1400 students, including 120 boarders (7-12), of whom approximately 25 are international students.
As one of the eight original Grammar schools in Queensland, Townsville Grammar School was established in 1888 and has offered boarding since this time. The School has a long-standing reputation as the leading academic school in Northern Queensland, also offering the International Baccalaureate Diploma Programme for Years 11 and 12.
We are seeking a highly organised and detail-oriented
Data and Systems Officer to join our team. This role is central to the effective administration of the School’s academic systems and ensuring that data is accurate, well-structured and clearly presented to support teaching, learning and operational outcomes.
About The Role
The Data and Systems Officer is responsible for the administration and ongoing management of the School’s Administration System (SAS), supporting the work of the Centre for Teaching & Learning. The role ensures the integrity and reliability of data across all system modules, including enrolments, student and parent records, curriculum, academic reporting and learning management systems.
Key Responsibilities
- Maintain accurate and up-to-date data across all core SAS modules, including student, parent, enrolment, staff and medical records
- Administer timetable and curriculum data, including term and semester system setups across campuses
- Manage academic reporting systems, including setup, maintenance, report production and distribution to families
- Support Learning Management System (LMS) and academic markbooks within TASS
- Coordinate Parent Teacher Interview programs, subject selection processes and student options data for Years 7-12
- Provide training, induction and documentation to staff on reporting processes and effective use of SAS
- Generate reports and data extracts to support school operations, ensuring data accuracy and confidentiality
- Prepare and submit required data for Commonwealth and State Government reporting
- Manage annual system rollover processes (“Year Next”) and maintain digital school records
- Support IB Diploma Programme administration, including registrations, timelines, platform management (IBIS and Pamoja) and budget coordination
- Contribute to the efficient operation of the Centre for Teaching & Learning through additional administrative support as required

About You
To be successful in this role, you will demonstrate:
- Proven administrative experience, ideally within a school or education environment
- Strong database management skills, including data entry, maintenance and reporting
- Meticulous attention to detail and a high level of accuracy
- Proficiency in Microsoft Office applications
- Excellent communication and interpersonal skills
- The ability to manage competing priorities and meet deadlines
- Sound knowledge of data privacy and security practices
- Experience with TASS or similar systems (highly regarded)
A current working with children blue card (or ability to obtain) is mandatory for this position.
