About The Role
We are seeking a Product Improvement Analyst to join our Perth-based product team and help shape a new way of delivering product improvements using AI agents and emerging technology.
This role is designed for someone who is business-focused, highly adaptable, hands-on, and confident solving problems in new and evolving environments. You will work with customers, internal product teams, and engineering teams to understand business requirements, convert them into clear documentation and agent-ready instructions, guide AI agent workflows, validate the outputs produced, and support deployment into the product.
This is not a traditional business analyst role where requirements are simply gathered and handed over. The role requires end-to-end ownership. You will be involved from the initial understanding of a business problem through to preparing requirements, using AI tools such as Codex, guiding agent outputs, validating what has been built, supporting deployment, and confirming that the final product outcome meets the intended business need.
The ideal person may come from product, operations, consulting, service delivery, implementation, customer support, process improvement, quality assurance, administration, or another industry entirely. What matters most is strong transferable capability, practical problem-solving, business judgement, curiosity, and the ability to use AI tools to produce meaningful outcomes.
The purpose of this role is to help turn business requirements and product improvement opportunities into delivered product outcomes through the effective use of AI agents and agent-based workflows.
The Product Improvement Analyst will act as a bridge between business needs, product direction, AI-assisted delivery, engineering support, validation, and deployment. This role will help the organisation build a repeatable and scalable way of using AI agents to support product improvement and new feature development.
About You
You may not have followed a traditional product or software career path. You may come from operations, service delivery, consulting, customer support, process improvement, implementation, administration, quality assurance, or another industry entirely.
You are someone who enjoys taking a messy or unclear problem and turning it into a practical outcome. You can ask the right questions, break problems down, write clearly, experiment with tools, test outputs, and keep improving until the result is fit for purpose.
You are comfortable with emerging technology and understand that this role will continue to evolve. You do not need to be a software engineer, but you should be confident using AI tools such as Codex or similar platforms and willing to learn how AI agents can be used to support product improvement and feature delivery.
You are practical, curious, adaptable, and comfortable working in a new operating model where AI agents support delivery, but human judgement remains essential.
KEY RESPONSIBILITIES
Business Requirements and Problem Understanding
- Work with customers, internal product teams, and stakeholders to understand business needs, product gaps, improvement opportunities, and feature requests.
- Analyse business problems and clarify the intended outcome before product work begins.
- Translate unclear, high-level, or incomplete requests into clear requirement documentation.
- Break down business needs into practical workflows, user stories, business rules, acceptance criteria, validation steps, and agent-ready instructions.
- Identify assumptions, risks, edge cases, dependencies, and missing information.
- Ensure requirements are aligned with business value, customer outcomes, product priorities, and operational needs.
- Communicate requirements clearly to product, engineering, support, and other internal teams.
AI Agent Workflow Execution
- Use AI tools such as Codex and other agent-based systems to help produce product improvements, feature changes, documentation, configurations, prototypes, and other product-related outputs.
- Prepare clear prompts, instructions, task definitions, and structured inputs for AI agents.
- Work hands-on with AI agents and internal agent workflows to convert requirements into usable product outputs.
- Collaborate with engineers who create or maintain sub-agents and agent workflows.
- Monitor agent-generated outputs and assess whether they are accurate, complete, practical, and aligned with requirements.
- Refine prompts, instructions, requirements, and workflow inputs to improve the quality of outputs.
- Iterate through agent-generated results until the output is fit for validation and release preparation.
- Identify when technical support is required and work with engineers to resolve workflow, logic, configuration, or delivery issues.
Product Improvement and Feature Delivery
- Support the delivery of continuous product improvements and new product features.
- Take ownership of assigned improvement items from initial requirement through to validation and deployment support.
- Work closely with the Product Manager to understand priorities, expected outcomes, and product direction.
- Convert business and product priorities into practical delivery tasks.
- Review product outputs and provide feedback to improve usability, efficiency, consistency, and customer value.
- Identify opportunities to improve the product through automation, AI-assisted workflows, process improvements, and user feedback.
- Contribute ideas for improving product capability, user experience, operational efficiency, and customer outcomes.
- Maintain a strong focus on delivering practical product improvements rather than documentation alone.
Validation, Testing and Sign-Off
- Validate that AI-generated outputs and product changes meet the original business requirements.
- Review outputs for accuracy, completeness, usability, business fit, and readiness for deployment.
- Create or support acceptance criteria, validation notes, test scenarios, user checks, and sign-off documentation.
- Perform functional checks and user-focused testing before release.
- Identify defects, inconsistencies, gaps, missing requirements, or risks in the delivered output.
- Work with product, engineering, and other stakeholders to resolve issues before deployment.
- Provide clear recommendations on whether a product change is ready for sign-off.
- Ensure the final outcome solves the right problem and delivers the intended value.
Deployment and Release Support
- Support the deployment of product improvements and new features that you have helped create.
- Coordinate with product, engineering, support, implementation, and operational teams to support a smooth release.
- Prepare or contribute to release notes, handover notes, user guidance, internal documentation, and support materials.
- Confirm that relevant teams understand what has changed and how the change should be used or supported.
- Monitor early feedback after deployment and identify any follow-up actions or improvements.
- Help ensure product changes are adopted effectively by users, customers, or internal teams.
- Support continuous improvement after release based on feedback, issues, and observed outcomes.
AI-Enabled Process Improvement
- Help define and improve how the organisation uses AI agents in product development and product improvement.
- Document repeatable workflows, prompt structures, validation approaches, quality checks, and delivery patterns.
- Identify opportunities to improve speed, consistency, quality, and scalability through AI-assisted delivery.
- Share learnings and practical examples with the product and engineering teams.
- Contribute to the development of internal standards for agent-ready requirements and AI-generated outputs.
- Stay curious about emerging AI tools, product practices, and new ways of working.
- Help build a culture of experimentation, learning, quality, and responsible use of emerging technology.

- Experience in any industry where they have solved business problems, improved processes, analysed requirements, coordinated outcomes, supported operations, or delivered practical improvements.
- Strong transferable skills from areas such as operations, consulting, product, service delivery, implementation, customer support, process improvement, quality assurance, administration, project coordination, or similar.

- Demonstrated ability to translate business needs into clear instructions, documentation, workflows, acceptance criteria, or practical action steps.
- Some hands-on experience using AI tools, such as Codex, GitHub Copilot, agent-based tools, automation tools, or similar.
- Confidence experimenting with AI tools to generate, refine, validate, or improve outputs.
- Strong written communication skills, especially the ability to write clear prompts, instructions, requirements, validation notes, and handover documentation.
- High attention to detail and the ability to review outputs critically before sign-off.
- Ability to learn new tools, systems, and ways of working quickly.
- Comfort working with both business and technical stakeholders.
- Ability to manage multiple priorities and take ownership of tasks from start to finish.

Highly Desirable
- Experience using AI-assisted development tools.
- Exposure to agent-based workflows, AI automation, workflow automation, or low-code/no-code platforms.
- Experience in software product environments, SaaS platforms, IT consulting, health, aged care, disability, or community services.
- Basic understanding of software development lifecycles, product release processes, testing, and deployment.
- Experience writing user stories, acceptance criteria, process flows, test cases, release notes, or support documentation.
- Familiarity with tools such as Jira, Azure DevOps, Confluence, Notion, Miro, Figma, GitHub, or similar.
- Understanding of user experience, customer journeys, product usability, or process design.
- Exposure to agile delivery practices.
- Experience working with cross-functional teams including product, engineering, support, and customer-facing teams.
