About the Role

  • To coordinate and administer research ethics data, correspondence, and processes, ensuring ethics applications and committee activities are managed accurately, efficiently, and in accordance with institutional policies and national frameworks.
  • The role supports the effective operation of research ethics processes to enable a high-quality research experience for Excelsia students and staff.

Primary Responsibilities include:

  • Coordinate and manage the end-to-end administration of research ethics applications to ensure timely, accurate, and policy-compliant processing.
  • Provide secretarial and administrative support to the Ethics Committee to ensure the effective and timely conduct of meetings and documentation of proceedings. Including agendas and minutes.
  • Manage and maintain up-to-date data on research ethics applications through the relevant systems, ensuring accuracy and timely data entry and reporting.
  • Coordinate and support the delivery of induction and ongoing training for new Ethics Committee members, ensuring they are appropriately informed, and supported in fulfilling their roles.
  • Provide effective administrative and coordination support for research-related events to ensure they are well-organised, professionally delivered, and aligned with institutional requirements and timelines.
  • Ensure that research ethics administration processes are consistently implemented, monitored, and continuously improved to achieve and demonstrate full compliance with institutional policies, national regulatory frameworks, and governance standards.
  • Act as the first point of contact for staff and students on research ethics matters, providing timely, accurate, and consistent information to support understanding of ethics processes, requirements, and compliance expectations.
  • Establish and maintain effective working relationships with staff, HDR students and supervisors to support timely progression, enhance communication, and contribute to positive research outcomes for Excelsia’s research culture.
  • Provide informed feedback and recommendations to the Director of Research (Graduate Programs) to support the ongoing improvement of research ethics systems, processes, and practices, ensuring they remain efficient, compliant, and aligned with institutional and regulatory requirements.

Selection Criteria

Qualifications and Professional Standing:

  • Committed Christian involved in a local congregation.
  • Possession of a relevant degree level qualification, or an equivalent combination of relevant experience/ training.
  • Experience (3+ years) working in a Mid level Administration role or equivalent.
  • Experience in a higher education or higher degree research setting (or equivalent) would be an advantage.
  • An understanding of research and ethics processes.
  • Efficient in data entry, able to update student information in varying data registers and to ensure that this information is accurate, non-redundant and secure.
  • Competent in documentation and reporting, able to create and generate monthly reports on research student progress, progression rates, attritions, and issues.
  • An understanding of basic project management to be able to monitor and track research student progress against given timelines.
  • Technological literacy in a wide range of desktop applications to support reporting and analysis role requirements and proficient with MS Suite especially MS Excel, SharePoint, and MS Teams.
  • Excellent oral and written communication skills, and confidence in presentations.
  • Demonstrated experience working with people from different cultures or backgrounds.
  • A team player, able to work collegially with multiple stakeholders such students, administrators, and academics.
  • Proven organisational skills with the ability to prioritise and meet deadlines.
