ABOUT THE ROLE
KATE NIXON are looking for a Procurement & Office Manager to work alongside our growing team.
The role is a full-time position working from our beautiful Woolloomooloo studio space and iconic Rushcutters Bay retail store.
ROLE OVERVIEW
This role is central to the operational success of the business, ensuring the smooth and efficient running of procurement and supporting functions across both design projects and retail operations.
The Procurement & Office Manager will work closely with our design team, trusted suppliers and clients to deliver considered outcomes and projects of exceptional quality, ensuring a seamless execution which reflects our clients’ vision and shared values.
In addition, this role will work closely with our retail and product teams to drive and support the successful introduction of new products into our retail space.
The role also supports broader office administration, systems management and team coordination, as well as lending support to the company director/founder and leadership team.
The ideal candidate is a natural organiser with a positive outlook, strong initiative, and a willingness to proactively drive and improve processes. They are approachable, energetic, collaborative and solutions-focused, with the ability to juggle competing priorities while supporting the team.
Experience in design, interiors, construction, retail, or a creative industry is a bonus, but is not essential and we welcome candidates with relevant experience from any field to apply.
A minimum of 3+ years in procurement and office management roles is required.
KEY RESPOSIBILITIES
Procurement & Logistics
- Manage the end-to-end procurement process for high-end residential projects - from sourcing and quotations to schedules, order placement, tracking and delivery coordination
- Prepare and manage purchase orders, pro forma invoices, delivery schedules, and supplier documentation
- Track shipments, logistics, and installations through to final site delivery and handover
- Oversee sample management including approvals, returns, and documentation
- Build and maintain strong relationships with premium suppliers, artisans, and custom manufacturers both locally and internationally
- Negotiate pricing, lead times, and terms while ensuring product quality and reliability
- Ensure procurement activities remain aligned with project budgets, timelines, and specifications
- Support reconciliation of orders and invoices with finance teams
- Please note aspects of the procurement stages may have support from other team members
Client, Supplier & Project Coordination
- Act as a key communication link between the designer team, suppliers and clients throughout the procurement process
- Provide updates to clients on lead times, availability, and alternatives in a polished, service-led manner
- Attend project meetings and client presentations where required
- Support project installs and coordinate logistics as needed
Retail & Inventory Management
- Oversee procurement, purchase orders and inventory management for the retail store
- Support retail team with both retail stock purchasing and styling-related procurement for clients
- Maximise efficiency and alignment between retail and studio procurement activities
- Support retail back-end operations as needed
Office Operations & Administration
- Set up new projects across systems
- Purchase, manage and organise office supplies
- Maintain sample library, order samples as needed and arrange return of samples
- Manage Studio admin (mail, phones, supplies, etc.)
- Organising supplier presentations, showroom visits and events for the design team
- Ensure the studio is always clean and welcoming and preparing spaces for client meeting
- Work with the team to streamline procedures, create office standards, and recommend ways to improve project management
- Manage subscriptions, licenses, and software accounts
- Manage studio housekeeping, maintenance and repairs as needed
- Support the team with other admin functions as required including booking travel, organising couriers and receiving deliveries
- Provide ad hoc support to the Director and wider team as needed
- Please note aspects of the administration tasks may have support from other team members at some stage
SKILLS AND EXPERIENCE
To succeed in this role, you must have:
- Exceptional organisation skills with strong attention to detail
- Experience in managing projects and internal processes effectively
- Highly proactive and self-starting, with strong initiative
- A passionate problem solver with the ability to successfully influence and achieve desired outcomes
- Comfortable working across multiple projects and priorities simultaneously
- Strong communication skills with a calm, professional approach to clients and suppliers
- Solutions-oriented mindset with a focus on improving systems and efficiency
- Team-oriented and collaborative approach, with a willingness to take on a wide variety of tasks
- Good business acumen and ability to work with stakeholders including design, product, finance, retail and marketing
- Interest or experience in design, interiors, construction, or creative industries advantageous but not essential
