About the Role
We are seeking a highly organised and proactive Office Coordinator to support the smooth and efficient day-to-day operations of our Darwin-based offices. This role is central to ensuring a professional, well-organised, and responsive workplace environment, providing vital administrative, facilities, and event coordination support across the business.
Working closely with the Executive Assistant, you will play a key role in keeping our office running seamlessly while supporting multiple stakeholders.
Key Responsibilities
Office & Facilities Coordination
- Manage office amenities, including ordering and maintaining kitchen and consumable supplies
- Coordinate stationery, printed materials, and office resources across locations
- Liaise with cleaning and building services to ensure a professional office environment
- Coordinate maintenance requests and contractor engagement
- Manage incoming and outgoing mail, freight, and courier services
- Respond to enquiries via the Darwin information inbox and office phone lines
- Coordinate staff uniforms, business cards (digital and physical), ID cards, and office inductions
- Support pool vehicle bookings, servicing, and maintenance
- Oversee archiving processes in line with company standards
Administrative Support
- Provide administrative support to multiple departments, including executive teams
- Assist with preparation and distribution of Board and management reports
- Raise purchase orders, process invoices, and support finance processes
- Maintain office equipment (e.g. printers and supplies)
- Support meeting logistics, including materials, name tags, and visitor coordination
- Assist with ad hoc administrative tasks as required
Event Coordination
- Coordinate internal meetings and events (e.g. town halls, board meetings, morning teas)
- Arrange room setup, catering, and logistics
- Support delivery of major events such as end-of-year celebrations and community events
Safety, Compliance & Cyber Security
- Promote a safe and sustainable workplace by identifying and managing risks
- Follow organisational policies related to workplace health, safety, and cyber security
About You
Essential Skills & Experience:
- Previous experience in a corporate office or administrative role
- Strong interpersonal skills with the ability to build positive working relationships
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint)
- Excellent written and verbal communication skills
- Strong organisational skills with the ability to manage competing priorities
- Ability to work independently and follow through on tasks
- NT Driver’s Licence (or ability to obtain), and eligibility to pass required security checks
Desirable
- Experience with procurement and finance processes (purchase orders, invoicing)
- Certificate or Diploma in Business Administration
- First Aid and/or Fire Warden certification
