Job Description
- Coordinate day-to-day program activities, including scheduling, documentation, and task tracking across multiple workstreams.
- Develop and maintain governance artefacts such as RAID logs, risk registers, and program dashboards.
- Manage program financials including tracking, reconciliation, and ensuring timely payments to partners.
- Facilitate meetings and governance forums, preparing agendas, capturing minutes, and tracking action.
- Oversee document control and version management across platforms such as SharePoint and DevOps.
- Produce high-quality reports, briefing papers, and updates for senior stakeholders and governance boards.
- Support procurement processes, including RFP development and coordination with vendors and partners.
- Maintain project tracking tools (e.g. MS Project, Jira) to ensure accurate milestone and progress tracking.
- Collaborate with cross-functional teams to ensure alignment with broader organisational objectives.
- Contribute to continuous improvement of PMO processes, systems, and reporting frameworks.
The Successful Applicant
A Successful Senior Program Coordinator Should Have
- Minimum 5+ years' experience in program or project coordination within large-scale digital or transformation environments.
- Proven experience working in hybrid agile delivery environments.
- Strong organisational and time management skills, with the ability to manage competing priorities.
- Excellent written and verbal communication skills, including experience preparing reports for senior stakeholders.
- High attention to detail across documentation, reporting, and financial tracking.
- Experience supporting governance frameworks, including risk, issues, and reporting processes.
- Proficiency in project and collaboration tools such as MS Project, SharePoint, Jira, or similar.
- Demonstrated ability to engage and coordinate across cross-functional teams and stakeholders.
- Experience supporting senior leaders (e.g. Program Directors, PMO Leads) in complex environments.
- A collaborative "one team" mindset with a proactive and solutions-focused approach.
