Since 1985, the Victorian Women's Trust (VWT) has been a feminist anchor in Australian public life, funding community grants, driving research, and running advocacy campaigns that advance the safety, dignity, and economic security of women, girls, and gender-diverse people.

The role
The Operations and Governance Coordinator is VWT's central point of operational continuity. Working closely with our small team, external providers, stakeholders and supporters, you'll coordinate VWT's operations with a high degree of initiative, integrity and judgement, maintaining the systems and processes that enable us to do our best work.
Key functional areas
- Operations & Office Management: oversee day-to-day office operations, information systems, supplier relationships, and staff/volunteer onboarding and property management.
- Operational Improvement & Policies: drive continuous improvement of administrative systems and workflows, including the development and review of organisational procedures, SOPs, and compliance documentation.
- CRM & Digital Workspace: maintain donor records, coordinate CRM processes and data management, and support the organisation's digital workspace.
- Finance Administration: coordinate financial administration including invoicing, payroll, and procurement, ensuring financial controls are maintained with the external finance provider.
- Communications & Engagement: coordinate internal and external communications, manage stakeholder enquiries, meeting support, and supplementary support to the communications team (e.g. website and events).
- Governance Coordination: manage Board administration, including the governance portal, meeting documentation, and liaison with the external Board support provider.
- Programs Support: provide administrative support across our programs and campaigns
Skills and Experience
Essential
- Experience in organisational administration (ideally in a small or nonprofit organisation); used to managing competing demands and working with initiative
- Experience with CRM systems and donor or contact data management
- Experience in financial administration (invoicing, payroll, procurement, reconciliations) and accounting software (E.g. Xero)
- High level of discretion and confidentiality
- Strong attention to detail and records management
- Proficiency in digital tools and cloud-based platforms, with confidence learning new systems
Highly regarded
- Experience supporting governance processes or Board administration
- Experience improving and documenting operational processes and workflows
- Familiarity with automation platforms and project management systems
- Experience coordinating events
- Experience working in the gender equality, feminist, or broader social justice sector
