The Role
We are seeking an experienced and highly organised Executive Assistant to provide dedicated, high-level support to a Global Senior Executive Director, based in Singapore. This role can be based in Sydney, Melbourne or Brisbane.
This is a fast-paced and dynamic role requiring exceptional organisational capability, sound judgement, and discretion. You will play a critical role in enabling executive effectiveness, ensuring seamless coordination across global stakeholders and competing priorities.
Key Responsibilities
- Build and maintain strong relationships with internal and external stakeholders
- Manage complex and ever-changing calendars, ensuring alignment across global time zones
- Coordinate meetings, agendas, correspondence, and executive communications
- Prepare high-quality presentations, reports, and documentation
- Organise meetings, conferences, workshops, and key events
- Manage domestic and international travel arrangements
- Process expense claims and support financial administration tasks
- Take accurate meeting minutes and track actions to completion
- Respond to enquiries with professionalism and efficiency
- Draft and prepare executive-level correspondence and communications
Skills & Experience
- Exceptional written and verbal communication skills
- Strong attention to detail and organisational accuracy
- Proven ability to manage sensitive information with discretion and confidentiality
- Advanced skills in preparing reports, presentations, and executive documentation
- Highly organised, with the ability to manage competing priorities
- Well-developed stakeholder engagement and interpersonal skills
- Ability to work under pressure and meet tight deadlines
- Self-motivated, proactive, and solutions-oriented
- Demonstrated experience supporting senior executives in a fast-paced environment
