As a Management Assistant supporting the COO Leadership Team, you’ll be at the centre of a fast-paced and evolving part of the business. Supporting multiple senior leaders across different teams, you’ll manage complex diaries, coordinate meetings, monitor inboxes, and handle a range of administrative responsibilities including expenses, travel, and event coordination.

You’ll play a key role in keeping things running smoothly, including juggling competing priorities, anticipating needs, and ensuring leaders are well-prepared and organised in a constantly changing environment. Alongside this, you’ll build strong relationships across the teams you support and work closely with a collaborative network of Executive and Management Assistants.

This role offers variety, visibility, and the opportunity to make a real impact day-to-day. It’s well suited to someone who thrives in a dynamic environment, enjoys being across multiple moving parts, and takes pride in staying one step ahead.

This is a permanent role based in Sydney.

What you’ll do

  • Provide proactive diary and calendar management for multiple COO Leadership Team members, balancing competing priorities and ensuring their time is used effectively.
  • Manage email inboxes, triaging communications, highlighting priorities, and following up on key actions.
  • Coordinate meetings, prepare agendas and materials, and track actions to ensure outcomes are delivered.
  • Handle end-to-end administration including expenses, budgets, invoices, purchase orders, and system access requests.
  • Organise domestic and international travel, ensuring seamless and policy-compliant arrangements.
  • Support team culture and engagement initiatives such as events, town halls, and team activities.

What we’re looking for

  • Proven experience in an Executive Assistant, Management Assistant, Team Assistant or similar role supporting multiple senior stakeholders (2+).
  • Strong organisational skills with the ability to manage competing priorities and tight deadlines.
  • High attention to detail and a proactive, solutions-focused mindset.
  • Excellent communication and stakeholder management skills, with confidence engaging across all levels of the business.
  • A high level of discretion and professionalism when handling confidential information.
  • Comfort working in a fast-paced, evolving environment where change is constant and opportunities to learn are plenty.
