As an Executive Assistant supporting three executives in the Business Services team, and their teams you will enable effective prioritisation, coordination, and delivery of key business activities by managing complex calendars, communications, and administrative workflows. You will act as a trusted coordinator, proactively organising travel, meetings, and stakeholder engagements to ensure seamless operations and allow executives to remain focused on strategic priorities.

Work Hours: Full-Time (40 Hours/ Week) What will your day look like?
As a Exec and Portfolio Assistant, you are accountable for:
Manage complex and competing executive calendars, ensuring effective prioritisation and alignment across three executives and their teams
Coordinate domestic and international travel, including itineraries, logistics, and expense management
Prepare, review, and manage communications, briefing materials, and meeting documentation to support decision-making
Act as a key liaison for internal and external stakeholders, maintaining strong relationships and ensuring timely follow-up
Support operational cadence, including meeting scheduling, agendas, and tracking of actions and deliverables
Plan and deliver team engagement activities and events, supporting culture, connectivity, and team effectiveness
Must have
Demonstrated experience supporting multiple senior executives within a complex, fast-paced environment
Strong organisational and prioritisation skills, with the ability to manage competing demands and tight deadlines
Excellent written and verbal communication skills, with high attention to detail and professionalism
Proficient in Microsoft Office and collaboration tools, with a high level of discretion and judgement handling sensitive information
What will you bring?
Good to have
Fmmiliarity with executive support within financial services or a highly regulated environment
Understanding of governance, risk, and confidentiality requirements when supporting senior leadership
Experience coordinating travel, events, and stakeholder engagements across distributed teams
Capabilities
Exceptional organisational and prioritisation capability in managing complex, fast-paced environments
Strong stakeholder management and relationship-building skills across senior executives and diverse teams
High level of discretion, judgement, and professionalism in handling confidential and sensitive information
Proactive problem-solving and anticipation of executive needs, with the ability to operate with minimal direction
Clear and effective communication skills, both written and verbal, tailored to executive and team audiences
Ability to plan, coordinate, and deliver multiple workstreams simultaneously with attention to detail
