With a strong pipeline of work across the Fuels and Energy sector, we are seeking an experienced Project Administrator to support site-based delivery in Gladstone. This is a casual position with the potential to transition into a longer-term opportunity.

This role is ideal for an administrator with shutdown and mobilisation experience, who thrives in fast-paced, site-driven environments and is confident supporting compliance, workforce coordination, and project controls.

About the role

You will play a key role supporting project and shutdown delivery teams with a strong focus on workforce coordination, compliance, and site readiness. Your responsibilities will include:

  • Supporting shutdown and mobilisation activities, including onboarding, site readiness, and workforce coordination
  • Managing timesheets and payroll inputs, ensuring accuracy and timely submission
  • Maintaining and updating training matrices, ensuring workforce compliance and site access requirements are met
  • Coordinating compliance documentation, inductions, and project-related records
  • Raising and managing purchase orders (POs), tracking expenditure, and liaising with internal procurement teams
  • Assisting with project documentation, reporting, and general administration support
  • Coordinating logistics for personnel, including travel, accommodation, and mobilisation scheduling
  • Liaising with site teams, project managers, and internal stakeholders to ensure smooth project delivery
  • Ensuring timely follow-up on outstanding actions, compliance requirements, and deadlines

What we’re looking for

  • Proven experience as a Project Administrator in site-based environments, ideally within Oil & Gas, Energy, Utilities, or Heavy Industry
  • Strong exposure to shutdowns and/or mobilisation activities
  • Experience managing timesheets, compliance processes, and workforce coordination
  • Confidence maintaining training matrices and tracking workforce competencies
  • Experience with purchase orders and basic procurement processes
  • Strong systems capability (SAP or similar ERP systems, MS Office, SharePoint)
  • Highly organised with strong attention to detail and ability to manage competing priorities
  • A proactive, hands-on approach with strong communication skills
