We are committed to hiring the best, most talented people in our industry; and we support them through professional growth, flexibility, and personalized benefits to manage life in and outside of work. What this opportunity involves: As a Facilities Management Coordinator at JLL, you'll play a vital role in coordinating facilities management functions across a diverse portfolio of owned properties and leased premises. This position sits at the heart of our operations, ensuring that our clients' facilities run smoothly and efficiently while supporting the broader facilities management team. At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees — and this role contributes directly to that mission. You'll work closely with our Property Service Centre, FM Vendor Managers, regional teams, and service providers to deliver exceptional service and resolve issues promptly. Your day will involve administrative coordination, vendor management support, compliance documentation validation, and risk management activities. You'll leverage various Computerised Maintenance Management Systems (CMMS) including Corrigo to monitor service delivery, track tasks, and support reporting requirements. We believe the most effective teams are built when everyone is empowered to thrive, and this role offers an excellent opportunity to build strong relationships across multiple stakeholders while developing your facilities management expertise. We embrace more innovative ways of working and prioritize opportunities to strengthen and advance your career, making this an ideal position for someone eager to grow within the facilities management field.
An Overview of the role: Coordinate facilities management activities as delegated by the centralized team, working with the Property Service Centre, FM Vendor Managers, and service providers to manage escalations and ensure prompt resolution of issues with minimum disruption
Monitor Corrigo usage to track service delivery, evaluate tasks, manage invoicing and documentation submission, and support the delivery of FM-specific tasks associated with the Change Direct Notices (CDNs) process
Provide administrative support to the Business Support Team and Facilities Managers, including preparation of reports on Corrigo adoption and supporting portfolio management activities
Collaborate with WoAG Vendor & Contracts Managers to address escalations related to contractor performance, and support service provider engagement to ensure fixed maintainable assets are captured and tagged in alignment with the Preventative Maintenance and Asset Management Plan (PAMP)
Validate compliance tasks and collect documentation according to Property Asset Management Plan requirements, building and maintaining effective relationships with Facilities Managers, contractors, suppliers, and internal stakeholders
Sounds like you? This is what we are looking for: Strong administration and communication skills with a customer service focus, attention to detail, and the ability to manage multiple priorities concurrently within tight operational deadlines
Efficient keyboard and data entry skills with proficiency in Microsoft Word, PowerPoint, Excel, Outlook, and internet research
Ability to work with minimal supervision while quickly grasping new concepts and systems, demonstrating strong organizational capabilities
Demonstrated ability to build professional relationships across diverse stakeholder groups with commitment to workplace health and safety compliance
