About The Medical Services Coordinator Role

The Medical Services Coordinator plays a key operational leadership role within Medical Services, supporting the day-to-day delivery of safe, efficient and compliant medical practice operations.

Reporting to the Medical Services Manager, you will provide leadership, coaching and operational oversight to our Client Services Officers working across reception and contact centre functions. You will be responsible for ensuring strong administrative processes, Medicare compliance, billing accuracy, workforce coordination and a high standard of client service across multiple medical programs.

This role is ideally suited to an experienced medical administration professional who has worked within a busy general practice, specialist practice, community health or outpatient setting and is ready to positively influence team culture while driving operational excellence.

Who we are looking for

We are seeking a confident and experienced medical administration professional who enjoys supporting frontline teams to succeed.

You will bring a strong understanding of medical practice operations and be comfortable providing guidance, accountability and support to Client Services Officers working across reception and call centre environments.

You will be recognised for your positive influence, practical problem-solving approach and ability to build trust while maintaining high standards. Most importantly, you will be someone who leads by example, supports continuous improvement and contributes to a respectful and collaborative team culture.

Your Passion and Commitment will see you

  • Lead, support and develop a team of Client Services Officers across reception and telephone services.
  • Support onboarding, training and performance development of administrative staff.
  • Partner with practitioners and program leads to ensure smooth service delivery.
  • Foster a positive, accountable and collaborative team culture.
  • Identify opportunities to improve workflows, client experience and administrative efficiency.
  • Monitor billing, claiming, appointment utilisation and data quality.
  • Support the implementation of legislative and operational changes impacting medical services.
  • Ensure compliance with Medicare, MBS and new legislative Assignment of Benefit (AoB) requirements.
  • Provide day-to-day operational oversight of medical administration functions.

Essential

  • Demonstrated experience in medical administration leadership, practice management or medical operations within a GP, specialist, community health or outpatient setting.
  • Strong working knowledge of Medicare Benefits Schedule (MBS), bulk billing processes and Medicare claiming.
  • Experience leading and supporting frontline administration teams in a fast-paced healthcare environment.
  • Experience implementing administrative processes and ensuring compliance with operational and regulatory requirements.
  • Strong understanding of appointment management, billing, patient flow and practice operations.
  • Experience using clinical software such as Best Practice and reporting platforms such as Cubiko.
  • Highly developed communication, coaching and conflict resolution skills.
  • Ability to build positive working relationships and influence team culture.

Desirable

  • Experience managing multi-site medical services.
  • Experience supporting change management initiatives.
  • Qualification in health administration, business, practice management or a related discipline.
