Your role at St John of God Ballarat Hospital
We are seeking applications for a Team Leader to join our Health Information Services team, on a permanent full-time basis.
This role will lead and support the clerical caregivers of the Health Information Services department. You will participate in all duties with HIS including pulling of medical records for pre-admission, chasing up of high dollar records, filing, Medicolegal and checking of discharged medical records back into the department.
The Position
- Coordinate day to day operations of the HIS Clerical Team, ensuring appropriate resources are allocated to meet KPI’s and customer expectations.
- Manage rostering, caregiver leave, training and performance management of caregivers.
- Assist in the recruitment of new clerical caregivers.
- Work with the MHIS to coordinate and manage clerical KPIs.
- Coordinate and chair team meetings.
- Accurate and timely scanning of health record documents.
- Prepare health record documents for scanning.
- Perform quality activities on scanned documents.
- Correct identified anomalies in the Scanned Health Record (SHR).
- Maintain health record tracking system.
- Retrieve health records for authorised personnel, audits, etc.
- Photocopy health records when required.
Successful applicants will have excellent communication and interpersonal skills, experience working in customer service or health care and strong clerical & computer skills. You will have demonstrated clerical experience in health information services, with an ability to lead and motivate others.

We can offer you
- Salary (from July, 2026): $72,380 to $74,162 plus 12% Superannuation
- Permanent full-time, working 38 hours per week
