We are a high-performing accounting firm seeking a proactive and detail-oriented Team Administrator to support our Geelong Business Advisory Team. This role is ideal for someone who thrives in a professional services environment, enjoys working closely with clients and senior stakeholders, and takes pride in producing accurate, polished work.

As Team Administrator, you will play a key role in supporting seamless client service, efficient internal operations and effective workflow management across the team.

About the role

  • Acting as a key client service contact for individual and business clients
  • Providing high-level administrative support to the director, managers and team members
  • Coordinating workflows across divisions
  • Preparing client onboarding, transfer and offboarding documentation, including engagement letters, authority documents and related correspondence
  • Maintaining accurate and complete client records in our practice management systems
  • Managing financial administration tasks, including invoicing, billing and payment confirmations
  • Supporting the preparation and formatting of client documents, reports, presentations and correspondence
  • Assisting with formal tenders or bid submissions where required

About you

You will bring:

  • Proven experience as a Team Administrator, Team Coordinator or similar within a client-facing professional services environment, such as accounting, legal or consulting
  • Experience managing end-to-end billing or invoicing processes
  • Strong organisational skills and the ability to manage competing priorities without compromising quality
  • Excellent attention to detail, particularly in relation to grammar, formatting and document presentation
  • Confident written and verbal communication skills, including the ability to follow up with senior stakeholders
  • Advanced Microsoft Office skills, particularly Word, PowerPoint and Excel
  • A proactive, solutions-focused approach and a genuine commitment to providing excellent client service
