About the role
Reporting to the Residential Service Manager, the Administration Officer provides high-quality administrative and logistical support to residential services. Acting as the first point of contact, this role manages reception, communications and key administrative processes, ensuring a professional, responsive and resident-centred service
Provide reception coverage and create a welcoming, inclusive front-of-house environment
Manage phone calls, emails, enquiries and visitor entry requirements
Act as the first point of contact for residents, families and visitors
Provide administrative support including preparing correspondence, reports, agendas and minutes
Process incoming and outgoing correspondence accurately and in a timely manner
Support resident administration processes including admissions, records and reporting
Assist with accounts administration, including invoice processing
Maintain accurate records across systems and databases
Organise diaries, meetings, appointments and travel arrangements
Monitor and order office supplies and coordinate maintenance of office equipment
Respond to feedback and complaints with professionalism and escalate where required
Ensure confidentiality, privacy and accurate handling of sensitive information
Work collaboratively with staff to support smooth operations and a positive resident experience
Role requirements
Proven experience in administration and office support roles
Strong customer service and communication skills
Proficiency in Microsoft Office and administrative systems
Strong organisational and time management skills
Ability to manage competing priorities and work independently
Understanding of confidentiality and privacy requirements
Experience working as a first point of contact handling enquiries and feedback
Experience in aged care or healthcare (highly regarded)
Satisfy the relevant probity checks required by legislation or organisational policy
Relevant vaccinations in line with organisational requirements
Certificate III or IV in Business Administration (desirable)
