With our current Office Manager moving into a new opportunity internally, this role presents a chance to step into a well-supported position within a business that actively promotes from within.
As a progressive insurance brokerage with approximately 65 employees, we operate in a fast-paced, high-performance environment from our conveniently located Malvern East office, with easy access to public transport and parking.
This is a pivotal, hands-on role that underpins the smooth operation of the business. Working closely with leadership, you will bring structure, efficiency, and continuous improvement to our day-to-day operations. You will also partner with People & Culture to support onboarding and deliver engaging team initiatives and events.
Key Responsibilities
- Oversee daily office operations including mail, banking, kitchen coordination, and reception support
- Monitor shared inboxes, ensuring timely responses, action, and escalation where required
- Maintain business registers, documentation, and reporting tools with a high level of accuracy
- Partner with People & Culture to coordinate onboarding and team member activities
- Manage vendor relationships, office supplies, and general administrative requirements
- Support Finance with monthly processes including invoicing, reconciliations, and reporting cycles
- Act as the primary point of contact for business systems and front-line IT support (Teams, phones, user access)
- Drive efficiencies through Microsoft 365 tools and platforms
- Contribute to process improvement, automation, and AI-enabled solutions (including Copilot)
- Confidently manage spreadsheets and reporting, ensuring data integrity and usability
About You
You bring a positive, proactive approach and build strong, trusted relationships across all levels of the business. You are known for being highly organised, detail-focused, and solutions-oriented.
You are naturally drawn to improving how things work and enjoy leveraging technology to simplify processes. You have an open mindset toward emerging tools, including AI, and see opportunities where others see problems.
Previous experience in office management or administration will set you up for success, however we value diverse career paths and encourage applications from candidates with transferable skills and a strong willingness to learn.
