POSITION OBJECTIVE

This position is to provide a high level of technical and administrative support services to the Development

and Land Use section to ensure the delivery of essential services and information to both internal and

external clients. This position will provide accurate and timely technical and administrative support in

relation to the preparation of correspondence, memorandums, meetings/conferences, minutes, reports

and other Development and Land Use functions.

POSITION REQUIREMENTS

  • Certificate IV in Business Administration or demonstrated experience in an administrative

support officer position.

  • Demonstrated written communication skills including the ability to summarise a document,

report and prepare correspondence in an accurate and concise manner

  • Demonstrated sound computer skills including knowledge of Microsoft Office Suite, Google Earth

and QLD Imagery.

  • Experience in interpreting building plans, surveying plans and other forms

of regulatory plans.

  • Demonstrated efficient customer service, organisational and time management skills including

the ability to work autonomously.

KEY RESPONSIBILITIES

Organisational Administration

  • Provide a high level of administrative support for the Development and Land Use Section.
  • Compile outgoing and internal correspondence and other documentation as required in a

professional, timely, efficient manner and in accordance with applicable legislation, Acts and

Council policies.

  • Coordinate and manage the distribution of incoming/outgoing correspondence, notifications,

emails and other documentation as required in a professional, timely, efficient manner and in

accordance with applicable legislation and Acts and Council policies.

  • Update hard copy and electronic files accordingly and maintain section specific records and

spreadsheets.

  • Accurately prepare, update and maintain the Section’s applications/permits spreadsheets for all

Development & Land Use section’s applications on a daily basis.

  • Efficient and timely collation and compilation of Development & Land Use reports on a monthly

and quarterly basis.

  • Processing application files for permits, licences, applications for the Development & Land Use

section.

  • Arrange timely payment of invoices received from external parties.
  • Data entry into Council’s ordering system for creating requisitions.
  • Provide prompt, accurate and high level of customer service for internal and external

stakeholders.

  • Actively contribute to the team and promote best practice.
  • Provide and maintain high level of confidentiality.

Land Tenure and Building Functions

  • Knowledge of, or ability to attain an understanding of, relevant legislation, Acts, Regulations, by-

laws and policies pertaining to or made by Council relating to building and land tenure activities.

  • High level of investigation/research skills and capability to provide concise relevant information

for the building and land tenure functions.

  • Ability to co-ordinate and monitor legislative and standard practice timeframes ensuring

deadlines are met as required.

  • Provide technical support to the Land Use Coordinator and regulatory and property officers to

increase efficiency within the section.

  • Prepare and undertake the processing functions of land tenure related applications and queries

within the section.

  • Liaise with associated external stakeholders such as consultants, and solicitors as required.
  • Preparation and placement of the Development & Land Use section public notices in a timely

manner whilst adhering to legislative requirements and Council’s corporate communication

guidelines, or other documentation as required.

  • Prepare Council horse paddock documentation and correspondence in accordance with internal

work procedures.

  • Distribute relevant applications to internal parties and follow up their responses within the

nominated timeframes.

  • Arrange site inspections and relevant correspondence with Council’s engaged building

certifier/plumbing inspector in relation to finalising Council issued building/plumbing permits and

other building matters.

  • Carry out research and other duties as directed and required pertaining to the effective delivery

of land tenure and building services.

  • You are required to follow any other lawful and reasonable directives provided by your

Supervisor or more senior officer.

Out-of-ordinary hours work may be required. Council reserves the right to change these duties at any

time.

KEY PERFORMANCE INDICATORS

  • Consistently prepare correspondence using the correct spelling, punctuation, and grammar.
  • Research, interpret, and accurately convey correspondence to specific section officer.
  • All assigned tasks are to be completed accurately, professionally and within the specified

timeframe set out by the supervisor or legislative requirement.

  • Provides a high level of administrative support within the section.
  • Accurate and efficient filing of all outgoing and internal correspondence generated by the

Development & Land Use section.

  • Accurately manage, maintain and update of Development and Land Use spreadsheets.
  • Effectively process customer complaints ensuring compliance with Councils Policy and Procedure
  • The ability to work autonomously.
  • High level of customer service carried out in a professional manner being a positive ambassador

for Mount Isa City Council.

  • High level of participation and commitment to team outcomes.
  • Consistently meets corporate obligations.
  • Promotes and complies with Council’s policies and procedures
