Primary objective

This position is the first point of contact for enquiries to Rehabilitation and Reintegration unit. This position is responsible

for general administrative duties, including processing invoices, booking travel and minute taking, efficient and effective

program delivery administration, records management and the logistics of events management.

Key duties and responsibilities

1. Provide high level administrative support to Rehabilitation and Reintegration unit senior staff, schedule meetings,

including taking minutes, data entry and record management in TRM (Territory Records Manager).

2. Maintain the first point of contact for the business unit for telephone calls, emails correspondence and undertake general

day-to-day duties, including escorting external providers through the centre as required.

3. Maintain resources and take responsibility for purchasing and processing accounts for payment including those by

Corporate Credit Card.

4. Input data pertaining to program scheduling of offenders and maintain accurate records.

5. Co-ordinator travel and accommodation as required, for staff and visitors using TRIPS (Travel Request Information

Processing System),

6. Required to work autonomously to deliver the day-to-day operational requirements within stringent timeframes. More

complex tasks and processes to be initiated through consultation with the senior staff in the unit.

Selection criteria

Essential

1. Demonstrated ability to undertake a range of administrative and secretarial duties, and experience in office procedures,

including arranging travel, payment processes, supply management and records management.

2. Good oral and written communication and interpersonal skills to interact effectively with people of diverse cultures,

including staff at all levels and external clients in professional manner.

3. Proven experience in an administrative role with a demonstrated competency in the operation of Microsoft Office, and

other NTG systems including NTG Pay and TRIPS, or the ability to learn new systems.

4. High degree of honesty/integrity with a proven ability to exercise confidentiality, use sound judgement, tact, and

discretion in dealing with colleagues and clients in a sensitive and changing environment.

5. Well-developed organisational skills and proven ability to effectively manage workloads in order to meet tight deadlines,

whilst working under pressure with minimal supervision and being able refer matters to others where needed.

6. Ability to respond positively to change and participate in a team environment to provide an effective, efficient, and

professional client service.

7. An ability to interact effectively with people of diverse cultures, whilst maintaining a pleasant and polite manner.
