ADMINISTRATION OFFICER

Location: Brisbane, QLD

Position Type: Full-Time

About QIBN

QIBN is a state representative body for Indigenous businesses in Queensland. We seek to advance the economic development and growth of Indigenous businesses by:

  • providing a range of business support services that will assist members to grow & mature;
  • facilitating linkages and connections with government and the corporate sector, especially around procurement; and
  • promoting Indigenous businesses on a state, national and global level.

The Role

The QIBN Administration Officer provides high-level administrative and operational support to the Chief Executive Officer and Memberships Officer, ensuring the smooth and efficient day-to-day functioning of the organisation.

This role plays a critical part in supporting internal operations, coordinating communications, maintaining systems and records, and assisting with membership administration. The position contributes to a professional, responsive and culturally respectful environment aligned with QIBN’s strategic and operational priorities.

Key Responsibilities

Executive Support

  • Provide administrative support to the CEO including calendar coordination, meeting preparation, reporting and general office management

Membership Support

  • Assist the Memberships Officer with membership administration, database management, communications and member engagement activities.

Office Operations

  • Support daily office operations, including document management, correspondence, procurement and coordination of internal processes.

Financial Administration

  • Assist with basic financial processes including invoices, payments and record keeping.

Stakeholder Communication

  • Respond to enquiries and support communication with members, partners and stakeholders in a professional and timely manner.

Event & Program Support

  • Assist with coordination of meetings, events, workshops and QIBN activities.

Cultural Leadership

  • Support the embedding of cultural integrity, values and practices across all organisational activities.

Skills & Experience

Qualifications or experience in business administration, office administration or a related field.

  • Previous experience in an administrative or office support role.
  • Demonstrated capability working with Aboriginal and Torres Strait Islander peoples and communities.
  • Strong organisational skills with attention to detail and the ability to manage competing priorities.
  • Excellent communication skills, both written and verbal.
  • Competence in Microsoft 365, CRM systems, and general technology use — or the ability to quickly learn new systems.
  • Ability to work both independently and collaboratively within a team environment.
