    360 Health + Community is an established, experienced and growing not-for-profit organisation delivering specialised mental health services, headspace(3X), suicide prevention, psychosocial support, chronic health & aged care, allied health, Street Doctor, and NDIS support coordination and allied health services. We operate throughout the Perth metropolitan area, the Mid-West (out of Geraldton), and the Goldfields (out of Kalgoorlie). In delivering our NDIS support coordination and recovery coaching services we specialise in the psychosocial domain and work with complex participants, including those living with more than one disability.

    Our headspace Rockingham team has an opportunity for a highly motivated Program Administrator. Working under the direction of the Centre Manager and Clinical Lead, you will play a pivotal role in ensuring young people and their families receive coordinated and effective support. We are seeking a highly motivated and dynamic person to be the initial point of contact for young people and families who can:

    • Provide an emotionally intelligent reception service for the centre, welcoming and valuing all who make contact with us
    • Manage all incoming calls, emails, mail and client documentation
    • Work closely with the Centre Manager and Clinical Lead to effectively and efficiently coordinate appointment bookings
    • Meticulously maintain client records in a timely manner, and assist the team in accessing required information and resources
    • Manage MBS, ensuring all billable sessions are accounted for
    • Support reporting and other business needs
    • Develop excellent working relationships within the team, and with internal and external stakeholders, to ensure open lines of communication and ultimately a seamless, accessible service for our clients

    The position is full-time permanent and based at our Rockingham office.

    What we are looking

    Essential

    • Training and/or a tertiary qualification in a relevant discipline, or equivalent level of expertise gained from a combination of experience, training or professional accreditation.
    • Previous administrative experience as well as demonstrated strong organisational skills including the ability to manage workloads and achieve outcomes in a busy environment.
    • Experience and highly developed skills in interacting with the public in a prompt, friendly and confidential manner.
    • High skill level and literacy in information management and communication technologies, including desktop computers, word processing, spreadsheet and database software packages.
    • Highly developed written and verbal communication skills, and the ability to engage with, establish and maintain effective relationships with a diverse range of people, including young people, health professionals, educators, academic researchers, and service providers.
    • Demonstrate previous experience whilst working within a multidisciplinary team where you have been the first point of contact in dealing appropriately and respectfully with young people and their families, and the young person experiencing mental health concerns.
    • N ational Police Certificate, Working with Children Check

    Desirable

    • Familiarity with primary health system
    • Self-motivated with ability to display initiative
    • Participation in the maintenance of a Quality Management System as part of a team

In this office-based role, you will manage reception, coordinate appointments and support clinicians to keep services running smoothly. You will also provide essential administrative support, maintain client records and assist with day-to-day operations.
