About the Role
Reporting to the Operations Manager, you will play an important role in keeping the office operating efficiently and ensuring our senior team is well supported day to day.
Your responsibilities will include:
- Office management, facilities, IT, marketing and events - You will help manage the office, including facilities, supplies and vendor relationships, while supporting marketing activity, social media coordination and firm events such as client breakfasts and lunches, the Christmas party, away weekend and other internal events.
- Learning support - You will coordinate local and international training for Australian employees, including local bitesize training schedules, international training travel arrangements and support for local learning initiatives.
- EA and executive support - You will provide proactive EA support to Associate Partners and Managers, including complex diary management, meeting setup and coordination, travel and accommodation bookings, expenses, document and slide preparation, printing and general administrative support.
- Project and client administration - You will support project administration, coordinate client meetings and calls, help maintain project momentum, liaise with client PAs, support sector pipeline management and update firm-wide knowledge systems with biographies, pitch documents and final client deliverables.
- Team contribution - You will work closely with the wider PA, Business Services and global teams, contributing to OC&C projects and initiatives and helping create a productive, collaborative and supportive working environment.
About the Candidate
We are looking for someone who enjoys variety, works well under pressure and brings a confident, positive and solutions-focused approach.
You will ideally have:
- 5+ experience as a PA, Team Assistant, Office Coordinator, Office Manager or similar
- Experience supporting senior stakeholders, ideally in a professional services, consulting or financial services environment
- Strong diary management, travel coordination and administrative skills
- Excellent organisation skills and the ability to manage multiple priorities at once
- A proactive approach to upward management and keeping things on track
- Strong attention to detail, accuracy and follow-through
- Clear and professional communication skills
- A collaborative style and the ability to build strong working relationships
- A positive, enthusiastic and “can-do” attitude
- Advanced MS Outlook and MS Word skills
- Competence across Office 365, including PowerPoint, Excel and SharePoint
- Confidence learning new systems and processes
