About the role
We’re looking for an experienced Board Secretariat to play a pivotal role in supporting our Board, Executive Team and governance functions. This position sits within the Operations Group and reports to the Chief Operations Officer.
You’ll be central to ensuring our organisation operates with integrity, transparency and efficiency. From coordinating Board and Committee meetings to supporting the on-going uplift of governance practices across the organisation, you’ll help us make informed, timely decisions that deliver meaningful community impact.
This role is ideal for someone who thrives in a dynamic SME or not‑for‑profit environment - someone who is proactive, organised, and passionate about enabling strong governance.
What You’ll Be Doing
Board & Committee Support
- Work closely with the Chair, CEO and COO to deliver high‑quality secretariat support.
- Prepare agendas, assemble papers, take minutes and track action items for Board and Sub‑Committee meetings.
- Build strong, trusted relationships with Directors and senior stakeholders.
- Provide governance advice and help uplift the quality of Board and Committee papers.
- Coordinate Board registers including Conflicts of Interest, Gifts, Members and Directors.
- Track Board and Committee training, self‑assessments and compliance requirements.
- Oversee travel bookings for Board and Committee members.
- Lead key Secretariat projects and liaise with external advisors when required.
Governance & Organisational Impact
- Support the COO in strengthening governance and company secretarial practices across the organisation.
- Contribute to the development and continuous improvement of policies, processes and systems.

About you
You’re a highly organised, detail‑focused professional who brings maturity, discretion and exceptional communication skills. You enjoy working with senior leaders, understand the nuances of governance, and can confidently manage competing priorities.
You’re someone who:
- Communicates clearly and professionally with senior stakeholders, Directors and external partners.
- Writes with precision and can prepare concise, high‑quality reports and papers.
- Handles sensitive conversations with empathy and professionalism.
- Works autonomously while collaborating effectively across teams.
- Thrives in a fast‑paced environment and stays calm under pressure.
- Brings a service‑oriented mindset and a commitment to doing what matters.
Experience
- At least 8-10 years’ experience in a senior Personal Assistant or Executive Assistant role; and/or
- A minimum of 3-5 years’ experience providing Board Secretariat, Company Secretary support, or legal/governance administration.
- Experience supporting Boards and Committees — ideally within an SME, not‑for‑profit or commercial environment.
- Strong proficiency in Microsoft Office and collaboration tools (Word, Excel, PowerPoint).
- Ability to quickly learn and use governance and finance systems
- Relevant qualifications in Business Administration, Office Management or similar.
