All Hallows’ School, a Catholic Mercy school for girls from Years 5–12, seeks to appoint an Administrative Assistant Heads of Department to join our Community.

The Administrative Assistant Heads of Department is a welcoming and supportive member of the Heads of Department reception area, offering assistance to staff, students and parents while providing administrative support to the Heads of Department.

Key Responsibilities

Provide comprehensive and proactive administrative assistance to the Heads of Department, ensuring professional and effective workflows.

Maintain and continually improve file structures and records systems following established routines, methods, and procedures.

Oversee and coordinate student requests for appointments with Heads of Department, ensuring efficient scheduling and communication.

Assist in managing automated workflows related to assessment systems, including ISMG (Internal Student Management Group), ISSM (Internal Student Support Management), and criteria sheet generation.

Facilitate QCAA (Queensland Curriculum and Assessment Authority) processes by retrieving and preparing student scripts, ISMGs, and ISSMs for confirmation and other necessary documentation.

Support the planning and coordination of events and excursions, which involves communicating with venues, arranging transportation

Role Requirements

Hold and maintain a current Queensland Working with Children Clearance (Blue Card).

Have approval to work in Australia.

Have or maintain the appropriate clearances, qualifications or registrations required to perform the inherent functions of the role.
