About The Role
An opportunity is available for an experienced Personal Assistant working Monday to Friday 9:30am to 2:30pm to support our Executive Leadership Team. The PA plays a crucial role in supporting the team and managing daily activities to ensure efficient operations. This position requires exceptional organisational skills, discretion, and the ability to handle sensitive information with confidentiality. The PA is a key liaison between the Executive Leadership Team, internal and external stakeholders, contributing to the effectiveness and productivity.
Key Responsibilities Will Include But Not Limited To
- Diary Management - Managing three (3) complex diaries for multiple executives with supplier in the Northern Hemisphere.
- Responsible for day-to-day administrative and operational needs for the Executive Leadership Team
- Ensuring all internal and external partners are communicated with accurately and timely
- Travel coordination
- Report and presentation collation
- Preparing agendas, attending meetings & recording minutes
- Record action items, and follow-up tasks from meetings, ensuring timely execution
- Handle sensitive information and confidential matters with the utmost discretion and professionalism
- Maintain strict confidentiality regarding executive decisions, financial data, and proprietary information
- Expense Management
What You Will Bring
- Proven experience managing complex diaries for multiple executives (minimum three managers), including prioritising competing demands, coordinating meetings, and resolving scheduling conflicts.
- Proven track record of success as an experienced Personal Assistant
- Ability to remain calm under pressure and think logically
- Strong organisational and administration skills with a high level of attention to detail
- Strong communication and interpersonal skills both verbal and written
- Demonstrated proficiency in Microsoft Office
- Strategic thinker with high degree of emotional intelligence
- Confident, energetic and friendly attitude in dealing with people
- Ability to be flexible and adaptable
