We are seeking a proactive and detail-oriented Fundraising Administrator to join our team on a full-time basis. This is a unique opportunity to contribute to a bold vision for children’s health in WA, working alongside a dynamic and purpose-driven team.
About The Role
The Fundraising Administrator plays a vital role in providing high-level administrative support to the Fundraising team, ensuring smooth day-to-day operations and enabling strategic donor engagement and fundraising initiatives.
Working closely with the Fundraising Operations and Engagement Manager and cross-functional teams, the Fundraising Administrator will contribute to the coordination of campaigns, events, donor stewardship activities, and reporting processes.
Key Responsibilities
- Provide professional and efficient administrative support to the Fundraising team, with a focus on enabling high-impact donor engagement and campaign delivery.
- Support the Chief Development Officer and Director of Growth with calendar coordination, travel arrangements, expense processing, and meeting logistics.
- Assist with the coordination and tracking of fundraising projects and events, donor stewardship activities, and strategic initiatives across the Foundation.
- Prepare and format documents, correspondence, presentations, and meeting materials to support internal and external communications.
- Attend to inbound phone calls and manage incoming and outgoing mail. Respond to general enquiries and ensure a welcoming and professional experience for our stakeholders.
- Interact professionally with staff, donors, and external stakeholders, maintaining confidentiality and discretion at all times.
- Contribute to the continuous improvement of administrative systems, processes, and documentation to enhance team efficiency.
- Support the Foundation’s volunteer program in collaboration with the Community Engagement Coordinator and the Head of People and Capability, assisting with coordination, onboarding and engagement activities.
- Undertake other administrative duties as required to support the Foundation’s mission and operations. Including occasional requirements outside of standard business hours and weekends.

You’ll Bring
- Demonstrated administrative experience, including, coordinating meetings, preparing agenda and minutes and supporting event logistics.
- Proficiency across the Microsoft Office Suite, including Excel, Word, Outlook and PowerPoint, with strong formatting and document preparation skills.
- Strong written and verbal communication skills, with an ability to work collaboratively with internal and external stakeholders.
- Familiarity with CRM systems (e.g. Salesforce, Raiser’s Edge, or similar) and donor databases is an advantage.
- Strong organisational skills, high attention to detail, and the ability to juggle multiple tasks and deadlines while maintaining accuracy and structure.
- Commitment to delivering high-quality internal service and supporting the Foundation’s fundraising and impact goals.
