We are seeking an experienced and highly organised
Production & Workshop Coordinator to play a key role in the successful delivery of customer projects and day-to-day workshop operations.
This is a hands-on coordination role where you'll be the link between customers, workshop personnel, management, suppliers, and administration. You'll be responsible for production scheduling, job tracking, customer communication, delivery coordination, and workshop administration to ensure projects are completed safely, efficiently, and on time.

About The Role
Customer & Production Coordination
- Act as the primary point of contact for customers regarding job progress, production schedules, and delivery requirements.
- Maintain regular communication with customers and provide timely project updates.
- Coordinate closely with workshop personnel to ensure customer requirements are understood and delivered.
- Build and maintain strong customer relationships through professional and responsive service.
Production Scheduling & Job Management
- Plan and coordinate workshop production schedules to meet customer deadlines.
- Monitor job progress and proactively manage priorities and workflow.
- Liaise with workshop supervisors to ensure projects remain on track.
- Enter and maintain accurate job information within company systems, including WorkGuru.
- Generate production and operational reports as required.
Deliveries & Logistics
- Coordinate deliveries, freight bookings, and transport requirements.
- Schedule dispatch activities and ensure customer delivery expectations are met.
- Prepare delivery documentation and supporting paperwork.
- Track deliveries and resolve any transport-related issues.
- Maintain accurate dispatch and delivery records.
Administration & Compliance
- Prepare site safety documentation and project compliance paperwork.
- Maintain workshop, project, and operational records.
- Assist with reporting, data entry, and continuous improvement initiatives.
- Respond to customer enquiries via phone, email, and in person.
Accounts & Payroll Support
- Assist with customer invoicing and accounts receivable activities.
- Support accounts payable processes and general administration functions.
- Assist with payroll administration as required.
- Work closely with customers, management, and accounts personnel to resolve queries.
Essential Skills & Experience
- Minimum 5 years' experience in a production coordination, workshop administration, or similar role.
- Strong organisational and time-management skills.
- Ability to manage multiple priorities in a busy environment.
- Excellent communication and stakeholder management skills.
- High attention to detail and accuracy.
- Experience with Accounts Payable and Accounts Receivable processes.
- Strong Microsoft Office skills, particularly Excel and Outlook.
Desirable Experience
- Experience within a manufacturing, engineering, fabrication, industrial, or workshop environment.
- Payroll administration knowledge.
- Understanding of production scheduling and workflow planning.
- Knowledge of logistics, dispatch, and inventory processes.
- Experience working within an EBA payroll environment.
- Experience using:

- Tanda
- Xero
- Microsoft Excel
