What this opportunity involves

We are seeking a proactive and experienced Facilities Coordinator to join our Melbourne team, where you'll play a vital role in creating a safe, well-maintained, and welcoming environment for employees and visitors. In this very fast-paced environment, you'll manage the day-to-day operations of our facilities, including maintenance coordination, vendor management, safety compliance, and guest services, all while working to enhance the overall workplace experience. The ideal candidate will be adaptable, quick-thinking, and able to manage multiple priorities with exceptional efficiency and attention to detail. This role requires 100% on-site presence and offers the chance to make a tangible impact on how our teams experience their workspace every day.

An Overview of the role

Conduct thorough routine inspections of all assigned buildings and spaces, ensuring facilities are in excellent condition and meet operational standards

Manage and prioritise facilities-related service requests through internal ticketing systems including Jira Service Desk and Corrigo, responding swiftly to maintain seamless operations

Ensure compliance with Workplace Health and Safety policies by maintaining safety procedures, managing emergency protocols, and conducting regular safety checks

Coordinate fire warden and first aid training programs for relevant staff, fostering a culture of safety and preparedness

Liaise with building management and external vendors to ensure all maintenance and repair work is completed to the highest standards

Oversee routine maintenance of facilities and equipment, troubleshooting issues proactively to minimise disruption

Collaborate with Guest Service and event teams to coordinate facilities management tasks for in-office events, ensuring smooth operations and an enhanced workplace experience

Assist in preparing purchase orders, budgetary requests, and financial reporting while tracking operating expenses and implementing cost-saving measures

Maintain clear communication with internal teams and external stakeholders, working closely with management at all levels to ensure smooth facility operations

Sounds like you? This is what we are looking for:

Proven facilities management experience or technical background in building systems and maintenance

Excellent problem-solving, troubleshooting, and organisational skills with the ability to manage competing priorities in a fast-paced environment

Exceptional attention to detail and time management skills, with demonstrated ability to handle multiple tasks simultaneously

Proficiency in facilities management software and G-Suite tools is a plus

Solid understanding of building systems and maintenance procedures, including HVAC, electrical, plumbing, and safety systems

Strong interpersonal and communication skills, with the ability to interact effectively with staff at all levels, including C-Suite executives, and external stakeholders

Demonstrated commitment to maintaining a safe and healthy workplace environment

Floor Fire Warden certification is desired, or willingness to obtain certification
