Property Operations Manager - Family Office

Capstone Recruitment

The Organisation

A prominent Melbourne-based family office is seeking an experienced property operations/facilities professional to take ownership of their property portfolio. This is a privately held organisation with a long-term, relationship-first approach to everything they do. The team is small, trusted and deeply committed to maintaining the quality and integrity of the assets they steward.

The Opportunity

A hands-on role responsible for the operational and facilities management of a diverse property portfolio. Reporting to a senior member of the team, you will act as the operational custodian of the portfolio - ensuring every asset is maintained to an exceptional standard, compliance obligations are met, and the right contractors and service providers are engaged and managed effectively. This is not a leasing or transactional role. It is operations, maintenance and facilities - with a strong service ethos and genuine care for the assets you look after.

Key Responsibilities

  • Oversee day-to-day maintenance planning and delivery across all properties
  • Conduct regular inspections and respond promptly to issues as they arise
  • Source, vet and manage a trusted network of contractors and service providers
  • Ensure all properties meet statutory compliance obligations (pool safety, fire safety, building regulations)
  • Maintain detailed records, service histories and compliance documentation
  • Liaise with external property managers, body corporates and the broader advisory team
  • Provide regular reporting on portfolio condition, maintenance activity and upcoming requirements

About You

You are an experienced facilities professional with a genuine pride in the assets you manage and a natural service orientation.

You will likely bring:

  • A background in hospitality (hotels, serviced apartments), build-to-rent, strata, high-end residential facilities, retail property, or a similar environment that has a customer-service focus
  • Proven experience managing contractors, maintenance programs and compliance across multiple sites
  • Strong organisational skills with high attention to detail and follow-through
  • The ability to work with discretion and professionalism in a private, high-trust environment

Why This Opportunity?

A rare long-term role that offers stability within a genuinely unique environment. You will have direct access to decision-makers and the satisfaction of managing premium assets that are genuinely valued - within a small, high-performing team built on trust and long-term relationships.
