Our client is embarking on a significant digital transformation journey and is seeking an organised, proactive, and highly capable Executive Assistant / Project Administrator to support a busy Program Manager leading a portfolio of strategic initiatives on a short-term temporary engagement (minimum 4 weeks).

This is a unique opportunity to work at the heart of a major transformation program, providing executive support, coordinating program activities, and helping ensure key projects run smoothly across a fast-paced and collaborative environment.

About the Role

Reporting directly to the Program Manager, you will act as a trusted right hand, managing priorities, coordinating meetings and governance activities, and ensuring program administration is delivered efficiently and professionally.

You will be a central point of coordination across project teams, vendors, and stakeholders, helping maintain momentum across multiple workstreams while keeping key information organised and accessible.

This role would suit someone who enjoys variety, thrives in a busy environment, and takes pride in being the person who keeps everything running smoothly behind the scenes.

Key Responsibilities

  • Provide high-level executive support to the Program Manager
  • Manage calendars, meetings, priorities, and stakeholder communications
  • Coordinate governance forums, workshops, and program meetings
  • Prepare agendas, minutes, action registers, and follow-up activities
  • Support the creation and distribution of project reporting and presentation packs
  • Maintain project documentation, registers, and shared repositories
  • Assist with vendor coordination, procurement administration, and onboarding activities
  • Track actions, risks, issues, and key program deliverables
  • Support financial administration including purchase orders, invoices, and budget tracking
  • Act as a key point of contact for program stakeholders

About You

You are highly organised, proactive, and comfortable working with senior stakeholders. You enjoy bringing structure to complexity and are known for your ability to stay one step ahead.

You'll bring:

  • Previous experience as an Executive Assistant, Project Administrator, Project Coordinator, PMO Coordinator, or similar role
  • Experience supporting senior leaders within projects, programs, or transformation environments
  • Exceptional organisational and time management skills
  • Strong written communication and stakeholder engagement capabilities
  • Confidence coordinating meetings, workshops, and governance activities
  • Strong attention to detail and ability to manage competing priorities
  • Advanced Microsoft Office skills, particularly Outlook, PowerPoint, Word, and Excel
  • A positive, solutions-focused approach and willingness to roll up your sleeves
