Practice Manager to join the team on a full-time maternity leave contract, commencing in July 2026 for a period of approximately eight months.

Working 38 hours per week, Monday to Friday, this hands-on role will see you overseeing the day-to-day operations of a busy specialist practice while working closely with the Directors to ensure the delivery of exceptional patient care and efficient business performance. You will play a key role in leading administrative functions, supporting staff, managing workflows and maintaining the high standards for which the practice is renowned.

The practice is led by a Queensland-trained ENT surgeon who provides specialist care to both adult and paediatric patients across a broad range of ear, nose and throat conditions. Areas of special interest include voice disorders, paediatric ENT, laryngeal hypersensitivity, chronic cough, swallowing disorders, and head and neck malignancy.

Key Duties And Responsibilities (including But Not Limited To)

  • Oversee the day-to-day operations of a busy two-surgeon ENT specialist practice, ensuring the smooth and efficient running of all administrative and patient service functions.
  • Provide leadership, supervision and support to a team of 3–4 medical administration and secretarial staff, fostering a positive and collaborative workplace culture.
  • Manage patient accounts from end to end, including consultation and surgical billing, receipting, banking and account reconciliation.
  • Process private health fund, Medicare and third-party billing using Genie and Eclipse billing systems.
  • Monitor outstanding accounts and follow up patient and insurer payments in a timely and professional manner.
  • Coordinate surgeon consulting sessions, theatre bookings and patient scheduling to optimise workflow and patient experience.
  • Maintain and enhance practice systems, procedures and workflows to ensure operational efficiency and compliance.
  • Liaise with hospitals, theatre staff, anaesthetists, allied health providers and external stakeholders to support seamless patient care.
  • Manage practice facilities, equipment and service providers, ensuring a safe, professional and well-maintained environment for patients and staff.
  • Assist with recruitment, onboarding, training and performance management of administrative team members as required.
  • Prepare reports and provide operational support to the Directors, contributing to the ongoing success and growth of the practice.
  • Ensure patient confidentiality and compliance with relevant healthcare legislation, accreditation standards and practice policies.
  • Provide hands-on support with reception and secretarial duties during busy periods, staff leave and peak workload times.

To be closely considered for this opportunity, you will need:

  • Previous experience in a Practice Manager, Senior Medical Secretary or Practice Administration leadership role within a surgical specialist practice.
  • Demonstrated experience managing the day-to-day operations of a busy private surgical practice
  • Strong knowledge of patient billing, surgical billing, Medicare, private health funds and accounts receivable processes.
  • Proven experience using Genie practice management software and Eclipse billing (or the ability to quickly learn comparable systems).
  • Experience supervising, mentoring and supporting administrative and secretarial staff.
  • Excellent organisational and time management skills, with the ability to effectively manage competing priorities.
  • Strong attention to detail and commitment to accuracy, particularly in relation to billing, reporting and patient administration.
  • Well-developed interpersonal and communication skills, with the ability to build positive relationships with patients, surgeons, hospitals and external stakeholders.
  • A professional, proactive and solutions-focused approach to practice management.
  • Demonstrated ability to work autonomously while collaborating effectively with surgeons and the wider team.
  • Experience coordinating theatre bookings and surgical patient journeys will be highly regarded.
  • Sound understanding of patient confidentiality requirements and healthcare compliance standards.
  • Intermediate to advanced computer skills across Microsoft Office and specialist medical software systems.
  • A flexible, hands-on attitude with a willingness to assist across all areas of the practice when required.
  • Availability to commit to a full-time maternity leave contract commencing in July 2026.

Remuneration

The practice is offering an attractive hourly rate of $41 - $47 per hour plus superannuation, negotiable for an exceptional candidate with relevant specialist practice experience.
