About the role
As our Foundation & Research Administrator, you will provide important support to grant administration, maintain high quality records and reporting systems, provide high level secretarial support to committees, and provide exceptional administrative support across the Foundation and Research teams. Reporting to the Research and Foundation Manager, you will work closely with internal teams, researchers, committees, donors and grant recipients to support the successful delivery of Foundation and Research initiatives.
Apply your experience, judgement and skills, together with the organisation’s approved AI tools (including Microsoft Copilot), to support high-quality, consistent and efficient workflows, and deliver accurate reporting.
As our Foundation & Research Administrator, you'll also:
Coordinate Foundation grant processes, including reviewer administration, assessment panel activities, funding agreements and milestone payment tracking.
Prepare and distribute meeting agendas and papers, take minutes, manage committee documentation coordinate travel, accommodation and meeting logistics for team members, committees and stakeholders, ensuring efficient and cost-effective arrangements.
Support Foundation fundraising, marketing and promotional activities, including event administration and stakeholder communications.
Monitor data quality and reporting, maintain operational procedures and provide administrative support across Foundation and Research projects and initiatives.
Respond to internal and external support requests (including researcher, stakeholder and committee enquiries) in a timely, professional and service-oriented manner.
Exercise sound judgement in the use of approved AI and digital tools, applying critical thinking to identify and implement improvements to administrative processes, documentation and knowledge management systems.
Skills & Experience
Experience in administration, coordination or committee support roles.
Strong organisational skills with the ability to manage priorities.
Excellent written and verbal communication skills.
High attention to detail and proficiency with Microsoft Office.
Ability to synthesise information and undertake research to support reports, briefings or partnership proposals
Strong stakeholder service mindset with experience responding to requests and managing enquiries.
Experience using Microsoft 365 tools, including Copilot (or similar AI tools), to enhance productivity and outputs is desirable.
