About The Role

The Portfolio Coordinator sits within the Enterprise Project Management Office (ePMO) and plays a key role supporting enterprise wide portfolio management, reporting, and governance across the City of Melbourne.

This is a highly collaborative coordination role. Working closely with Portfolio Leads, Project Managers, and senior stakeholders, you’ll provide hands on support to ensure reporting is accurate, governance processes run seamlessly, and decision making is supported with clear, timely insights.

Rather than leading projects directly, this role is focused on enabling delivery outcomes through strong coordination, reporting discipline, and governance support, ensuring projects across multiple portfolios remain visible, compliant, and on track.

A Little More About The Role

In this role you will

  • Support monthly and ad hoc portfolio reporting, including identifying risks, issues and performance variances
  • Prepare dashboards, reports, and briefing materials for Directors, Executives and governance forums
  • Coordinate governance meetings (including agendas, report packs, minutes and action tracking)
  • Maintain and administer portfolio reporting systems, ensuring data integrity and timeliness
  • Manage and maintain accurate project and portfolio documentation within approved systems
  • Support Project Managers and Portfolio Leads in applying project management frameworks and standards
  • Coordinate forward planning activities, timelines and reporting deadlines across the ePMO
  • Contribute to continuous improvement of reporting processes, tools and governance practices

About You

You’re highly organised, detail oriented and thrive in environments where coordination, reporting, and governance are critical to success. You enjoy working with data, systems and stakeholders to ensure everything runs smoothly and deadlines are met.

You bring experience supporting project or program delivery in a structured environment and are comfortable preparing reports, coordinating meetings, and managing competing priorities.

You May Also Be

  • Confident preparing dashboards, reports or visual summaries for stakeholders
  • Comfortable working across multiple projects or portfolios simultaneously
  • Strong in written communication, creating clear and concise reports and materials
  • Proactive, identifying issues and suggesting improvements to processes and ways of working

What Your Experience Might Look Like

  • Experience in a Project Coordinator, PMO Analyst, Program Coordinator or similar role
  • Strong organisational skills, with experience managing deadlines, documentation and reporting cycles
  • Exposure to project management frameworks and governance processes
  • Experience preparing reports, dashboards or supporting performance analysis
  • Proficiency in Microsoft Office Suite, with exposure to tools such as SharePoint or MS Project
  • Experience working in a large or complex organisation (public sector experience is valued but not essential)
